Administrative Assistant - Glover Oil

About the Position
We are looking for a detail-oriented Administrative Assistant to join our team at Glover Oil. This position is essential to our daily operations, as it involves providing exceptional customer service while managing various administrative tasks, including billing, filling, accounts receivable, and customer support.

Key Responsibilities

• Provide professional front counter service, processing invoices for fuel and oil pickups at the plant
• Answer phones and efficiently process customer orders
• Address and resolve customer issues related to statements, invoicing, and general inquiries
• Manage accounts receivable processes and attend bi-weekly AR meetings
• Complete billing through the Glover Oil billing portal including entering prices, verifying invoices, printing invoices, and processing credit card payments
• Work with Customer Billing Portals (Coupa) to enter and process invoices
  Maintain accurate documentation and records

Qualifications

• Proven experience in administrative support or customer service
• Strong proficiency in Microsoft Office, particularly Excel and Word (REQUIRED)
• Excellent communication skills, both verbal and written
• Detail-oriented with strong organizational abilities
• Ability to multitask in a fast-paced environment
• Problem-solving skills with a customer-first mindset
• Experience with billing systems and accounts receivable preferred
• High school diploma or equivalent; associate degree preferred
