Tufts Participant Success Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Tufts Participant Success Specialist based in United States.

The Participant Success Specialist plays an important role in creating a seamless and supportive healthcare experience for participants from initial referral through enrollment.
This position focuses on building strong relationships, guiding individuals through care options, and ensuring they receive timely and compassionate support.
You will collaborate with clinical, operational, billing, and administrative teams to improve engagement and deliver high-quality service.
The role combines patient communication, referral coordination, documentation, and process improvement within a mission-driven healthcare environment.

Accountabilities:

The Participant Success Specialist will serve as a key connection point between participants, care teams, and internal departments by managing referrals, supporting enrollment, and ensuring a positive participant journey. This role requires strong communication skills, attention to detail, and a commitment to delivering compassionate service.

  • Receive, review, and process incoming participant referrals from healthcare providers, facilities, and other referral sources.
  • Verify referral details for accuracy, completeness, and compliance with required processes.
  • Maintain referral tracking systems and ensure timely follow-up throughout the enrollment process.
  • Contact participants through phone, text, and approved communication channels to provide guidance and support.
  • Educate participants about available services, eligibility requirements, benefits, and enrollment procedures.
  • Assess participant needs, answer questions, and help individuals navigate available care options.
  • Guide participants through onboarding activities, including documentation collection and appointment scheduling.
  • Build trusted relationships with participants and caregivers through empathetic and professional communication.
  • Address concerns, remove barriers to enrollment, and provide ongoing support throughout the participant journey.
  • Accurately document interactions, referral activity, and enrollment outcomes within designated systems.
  • Maintain confidentiality and follow HIPAA requirements and applicable healthcare regulations.
  • Track performance metrics, support enrollment goals, and identify opportunities to improve participant engagement processes.
  • Collaborate with clinical, operational, and administrative teams to support service delivery and quality improvement initiatives.
  • Participate in team meetings, training programs, and continuous improvement activities.
Requirements:

The ideal candidate is a customer-focused healthcare professional with experience supporting individuals through enrollment, service coordination, or contact center environments. This role requires strong interpersonal skills, organization, and the ability to work independently in a fast-paced remote setting.

  • College education (BA/BS preferred) or equivalent experience in behavioral health, healthcare, customer service, or a related field.
  • 1–2+ years of experience in a contact center, customer support, healthcare, or participant-facing role.
  • Previous healthcare enrollment or patient support experience preferred.
  • Experience working with electronic health records (EHR) systems, such as Epic, is a plus.
  • Strong verbal and written communication skills with the ability to explain information clearly and compassionately.
  • Excellent attention to detail and organizational abilities.
  • Ability to manage multiple priorities while maintaining accuracy and quality.
  • Comfortable working independently while collaborating effectively with internal teams.
  • Strong problem-solving skills and a proactive approach to addressing participant needs.
  • Ability to work remotely from a secure location with reliable internet connectivity.
  • Empathetic, professional, and service-oriented approach when interacting with participants and caregivers.
