Position Summary
The Accounting Manager is responsible for managing the day-to-day accounting function and ensuring financial activity is accurate, timely, complete, and properly supported. This is a hands-on accounting role that performs and reviews core accounting work, coordinates the monthly close, and supports the Director of Finance with reliable financial information.
The Accounting Manager maintains key reconciliations and schedules, prepares and reviews journal entries, oversees accounting workflows, and helps ensure the Finance team remains current throughout the month. The role works closely with Accounts Payable, Accounts Receivable, grant billing, and other finance staff to identify issues early, correct errors, and maintain strong internal controls.
Duties and Responsibilities
General Accounting and Monthly Close
• Coordinate and perform monthly close activities in accordance with the Finance close calendar and established deadlines.
• Prepare, review, and post journal entries with complete supporting documentation and appropriate approval.
• Maintain the general ledger and investigate unusual, incorrect, duplicate, or unsupported transactions.
• Ensure accounting activity is reviewed throughout the month so the books remain close-ready and issues are not deferred until month-end.
• Support preparation and review of monthly financial statements and close schedules for the Director of Finance.
Reconciliations and Accounting Schedules
• Prepare and/or review monthly bank, cash, and balance sheet reconciliations and resolve reconciling items timely.
• Maintain prepaid expense and amortization schedules and prepare related monthly entries.
• Maintain fixed asset and depreciation schedules and prepare related entries.
• Coordinate inventory accounting, including review of inventory reports and preparation of required inventory journal entries.
• Maintain other recurring accounting schedules and ensure schedules agree to the general ledger.
Accounts Payable, Accounts Receivable and Cash
• Provide accounting oversight of accounts payable activity, including invoice coding, vendor records, supporting documentation, duplicate prevention, payment activity, and period cut-off.
• Review accounts receivable, grant billing, cash receipts, and unapplied activity to ensure transactions are recorded accurately and timely.
• Work with finance staff to research and resolve vendor, customer, payment, coding, and posting discrepancies.
• Ensure AP and AR subledgers reconcile to the general ledger and period activity is recorded in the correct month.
Payroll and Journal Entry Support
• Prepare or review payroll accounting entries and related reconciliations based on approved payroll documentation.
• Review recurring and non-recurring journal entries for accuracy, appropriate coding, support, and period recognition.
• Ensure journal entries follow established preparation, review, and approval procedures before posting.
Grants, Revenue and Compliance Support
• Review grant-related transactions, receivables, revenue, and supporting schedules for accurate coding and documentation.
• Support grant invoicing and reimbursement activity and assist with reconciliation of grant balances to the general ledger.
• Help ensure financial records comply with grant requirements, nonprofit accounting practices, organizational policies, and internal controls.
Team Oversight and Process Management
• Review accounting work completed by finance staff for accuracy, completeness, timeliness, and proper support.
• Provide day-to-day accounting guidance, training, and follow-up to finance team members as assigned.
• Monitor recurring accounting deadlines and follow up on outstanding items before they affect close or reporting.
• Maintain and improve accounting procedures, reconciliation workbooks, schedules, checklists, and standard operating procedures.
• Identify process gaps and recommend practical improvements that reduce errors, duplication, and rework.
• Escalate material accounting issues, missed deadlines, control concerns, or unresolved discrepancies to the Director of Finance promptly.
Audit and Financial Readiness
• Maintain organized, complete, and audit-ready accounting records and supporting documentation.
• Prepare schedules and documentation requested for annual audits, monitoring, grant reviews, and other financial reviews.
• Assist the Director of Finance with research, reporting, and other accounting projects as needed.
Qualifications
• Bachelor's degree in Accounting, Finance, or related field preferred.
• 4-6 years of progressive accounting experience, including month-end close and reconciliations.
• Experience reviewing the work of others and coordinating accounting deadlines preferred.
• Nonprofit and grant accounting experience preferred.
• Experience with Sage Intacct or a comparable accounting system preferred.
• Strong Excel skills and experience maintaining accounting schedules and reconciliations.
