About the role
We are seeking a full-time Administrative & Finance Coordinator to support the day-to-day administrative and financial operations of The Therapy Place while sharing responsibility for our front office.
This position is ideal for someone who is highly organized, naturally curious, and enjoys figuring things out. We are less concerned with whether you already know every system we use and more interested in finding someone who takes ownership, learns quickly, notices when something doesn't look right, and follows a task through to completion.
The Administrative & Finance Coordinator will work closely with the Chief Operations Officer and Front Office & Billing Coordinator and will interact regularly with staff across the organization.
What you'll do
- Assist with day-to-day financial administration, including transaction entry, expense coding, and maintaining accurate records in QuickBooks Online.
- Assist with credit card reconciliation and ensure transactions have appropriate receipts and supporting documentation.
- Track down missing receipts, purchase information, approvals, and other documentation needed to maintain complete financial records.
- Review transactions and expenses for accuracy and proactively investigate discrepancies or missing information.
- Assist with invoice entry, vendor documentation, accounts payable processes, and other routine financial tasks.
- Maintain organized electronic financial and administrative records.
- Assist with departmental expense tracking and preparation of financial information for organizational leadership and accounting partners.
- Share responsibility with the Front Office & Billing Coordinator for the daily operation and coverage of the front desk.
- Work collaboratively to ensure the front desk is staffed during all operating hours, including coordinating schedules, lunches, meetings, planned time off, and other coverage needs.
- Greet and assist families, visitors, vendors, and community partners and maintain a welcoming, professional front-office environment.
- Answer and route incoming phone calls, receive payments, and assist families with routine questions.
- Balance front-office responsibilities with assigned administrative and financial work, adjusting priorities throughout the day as needed.
- Support the Chief Operations Officer with administrative and operational projects.
- Work collaboratively with team members across the organization and take ownership of assigned responsibilities through completion.
- Provide additional administrative and operational support based on the evolving needs of the organization.
Qualifications
- Strong organizational skills and exceptional attention to detail.
- Demonstrated ability to problem-solve, learn new systems, and independently find answers.
- Strong follow-through and willingness to proactively seek out missing information rather than waiting for direction.
- Comfortable working with numbers, spreadsheets, financial information, and detailed documentation.
- Ability to manage multiple priorities and recurring responsibilities in a busy environment.
- Strong computer skills and willingness to learn new software and technology.
- Professional and effective written and verbal communication skills.
- Ability to maintain confidentiality when working with financial, employee, and family information.
- Prior administrative, bookkeeping, finance support, or office experience preferred, but we are willing to train the right candidate.
- Experience with QuickBooks Online is a plus, but not required.
The pay range for this role is:
20 - 22 USD per hour(TTP)
