Team: Central Operations
Reports To: Central Operations Manager
Status: Part-Time, Non-Exempt (25 hours/week)

Location: Onsite

The Volunteer Coordinator plays a vital role in building, developing, and sustaining a thriving volunteer community that equips HEART Response Ministry (HRM) to fulfill its mission. Partnering closely with ministry and department leaders, this role identifies volunteer needs, recruits and onboards volunteers, coordinates volunteer orientation training, and ensures individuals are placed in meaningful roles where they can serve with purpose, passion, and measurable impact.

Requirements: Recruitment & Community Outreach
  • Build Strategic Partnerships: Cultivate and maintain relationships with local churches, schools, ministries, businesses, and civic organizations to build a dynamic volunteer pipeline.
  • Community Representation: Represent HRM at outreach events, volunteer fairs, and community gatherings to promote service opportunities and strengthen community partnerships.
  • Pipeline Management: Proactively recruit volunteers to support ministry and operational needs.
Onboarding, Placement & Orientation
  • Program Development: Design, implement, and continuously refine as needed, a standardized volunteer onboarding and orientation training program.
  • Volunteer Placement: Interview and evaluate incoming volunteers, matching their unique gifts, interests, experience, qualifications, and availability with ministry and operational priorities.
  • Volunteer Onboarding: Facilitate smooth transitions into assigned roles, serving as a primary point of contact and guidance.
Volunteer Operations & Administration
  • Needs Assessment: Collaborate with ministry and department leaders to assess staffing needs and identify current and future recruitment priorities.
  • System Administration: Coordinate volunteer scheduling, information management, qualification assessments, and communication workflows using designated volunteer management system and other related applications.
  • Records & Reporting: Maintain accurate volunteer records and reporting to support organizational planning and compliance.
  • Policies & Procedures: Develop and document volunteer related policies and procedures, implement and maintain processes to ensure they are consistently followed.
Engagement, Retention & Support
  • Culture & Recognition: Foster a supportive volunteer culture through regular communication, encouragement, recognition, hospitality, and opportunities for growth.
  • Conflict Resolution & Guidance: Serve as a reliable resource for volunteers and leaders, addressing questions, resolving concerns, and gathering feedback to continuously improve the volunteer experience.

Qualifications
  • Education/Experience: Bachelor's degree or equivalent combination of education and relevant professional experience.
  • Background: Experience in volunteer management, or other related fields such as recruiting, ministry leadership, or community engagement.
  • Licensing: Valid driver's license with ability to travel locally.
  • Software Experience: Proficient in using basic office applications (ex: Word/Docs, spreadsheet, email) and prefer hands-on experience using volunteer management software, database or CRM platforms.

  • Problem Solving & Leadership Acumen: Demonstrates initiative, proactive problem-solving skills, contributes to a unified team culture, and maintains a high level of confidentiality, integrity, and sound judgment.
Working Conditions & Physical Demands
  • Schedule: Regular onsite work required; schedule may include occasional evenings and weekends.
  • Physical Mobility: Ability to sit, stand, and walk for extended periods during events and routine operations.
  • Computer Use: Frequent use of standard computer systems, keyboard, and screen.
  • Lifting: Ability to lift and carry up to 25 pounds for event set-up and supply transport.
  • Travel: Local travel required for meetings, recruitment, and community events.

Employment Notice: HEART Response Ministry is a Minnesota nonprofit organization exempt from contributing to Minnesota Unemployment Insurance. As a result, employees are not eligible for Minnesota unemployment benefits upon separation from employment.
