Medical Office Specialist - FULL TIME with benefits
About the Role
Are you a detail-oriented professional with a heart for kids? Our busy pediatric practice is looking for a full-time Medical Office Specialist who can balance high-level administrative tasks with a warm, welcoming presence for our patients and their families.
As the first point of contact, you won't just be managing a schedule; you’ll be the friendly face that helps a nervous child feel at ease and a busy parent feel supported.
What You’ll Do
- Patient Experience: Greet families, manage the check-in/check-out process, and handle a multi-line phone system with professionalism and empathy.
- Scheduling: Coordinate well-child visits, follow-ups, and urgent "sick-visit" appointments using our Electronic Health Record (EHR) system.
- Insurance & Billing: Verify insurance eligibility, obtain necessary authorizations, and collect co-pays/outstanding balances at the time of service.
- Records Management: Maintain and update digital patient files, ensuring 100% HIPAA compliance and accuracy.
- Coordination: Act as the liaison between our providers, pharmacies, and specialty clinics to ensure seamless care for our patients.
What You Bring
- Experience: Minimum of 1–2 years in a medical office setting (Pediatrics preferred).
- Skills: Proficiency in EHR/Practice Management software (e.g., eClinicalWorks, Athena, or similar).
- Education: High School Diploma or equivalent; Medical Office Certification is a plus.
- The "Pediatric Touch": Exceptional patience and the ability to remain calm and kind in a fast-paced, sometimes noisy environment.
- Reliability: A consistent track record of punctuality and a team-player mindset.

Minimum Qualifications
- Minimum of High School Diploma or equivalent
- Minimum 1 year customer service experience in a medical office or similar
- Ability to work Monday-Friday 8a-5p, with some occasional overtime
- Ability to work well with others and under pressure
- Computer proficiency; knowledge of Microsoft Office
- Strong communication, written, interpersonal and organizational skills
- Ability to articulate and communicate effectively in person, in email and on the phone
- Ability to maintain confidentiality
Physical Requirements of Position
- Must be able to effectively communicate with patients and co-workers
- Occasional bending, stooping, lifting and stretching
- Ability to sit at a desk and operate computer equipment for extended periods of time
