Job Description

Role purpose

The librarian keeps SAHN's policy and SOP library complete, current and accreditation ready. The role researches legislative, regulatory and accreditation standards, compares them against our existing documents, and makes sure every policy is updated, organized and easy to find.

The work supports the HR and compliance team as SAHN prepares for accreditation with the Canadian Accreditation Council (CAC).

Key responsibilities

Regulatory Compliance

  • Maintain up-to-date knowledge of Canadian Accreditation Council (CAC) standards to implement the established plan for achieving accreditation.
  • Monitor changes to relevant Ontario legislation and regulations, including the Employment Standards Act, Occupational Health and Safety Act, Accessibility for Ontarians with Disabilities Act, Connecting Care Act and privacy legislation such as PHIPA.
  • Locate authoritative sources and best-practice references to support each policy and cite them in the document.

Policy and SOP library

  • Build and maintain a central inventory of all SAHN policies, SOPs, forms and guides, including document code, owner, version, effective date and next review date.
  • Review existing policies against CAC standards and flag gaps, outdated content and duplicates.
  • Draft updates and new policies where gaps exist, in SAHN's standard format, for HR review and approval.
  • Keep documents concise and user friendly for frontline staff while preserving required content.
  • Apply consistent naming, numbering and version control across the library.

Accreditation readiness

  • Map each accreditation standard to the SAHN policy or SOP that meets it, and track evidence of compliance.
  • Maintain a gap tracker showing what is complete, in progress and outstanding.
  • Help assemble policy documentation for the accreditation submission and any surveyor review.
  • Track policy review dates and remind owners when documents are due for review.
Qualifications

Required

  • Relevant experience or education in library, records or information management.
  • Strong attention to detail and the ability to stay focused through detailed, repetitive review work.
  • Strong legal, regulatory or policy research skills, with the ability to find and evaluate authoritative sources.
  • Experience organizing large document collections, including classification, naming conventions and version control.
  • Clear, plain-language writing.
  • Ability to work independently and deliver steady progress within a 10-hour weekly schedule.

Preferred

  • Experience or Education in healthcare, home care or another regulated sector.
  • Familiarity with healthcare accreditation processes and standards, ideally CAC.
  • Knowledge of Ontario employment, health and safety and privacy legislation.
  • Experience with document management tools such as SharePoint, Google Drive or a policy management system.
Engagement terms
  • Part-time Remote engagement of 10 hours per week, scheduled flexibly in agreement with CPO.
  • Brief weekly progress update to CPO covering work completed, gaps found and next priorities.
