Thermal Concepts, provides high-quality HVAC services to commercial clients across the region. — and we’re seekinga highly organized and customer-focused Dispatcher to support our HVAC Service Department. In this role, you will be responsible for coordinating service requests, scheduling technicians, and ensuring efficient communication between customers, field personnel, and internal teams.

Position Requirements:
What You'll Do
- Receive and prioritize incoming service requests from customers via phone, email, and other communication channels.
- Schedule and dispatch HVAC service technicians based on availability, skillset, location, and job priority.
- Communicate job details, customer information, and special instructions to technicians in the field.
- Monitor technician schedules throughout the day and make adjustments as needed to accommodate urgent requests and changing priorities.
- Maintain accurate records of service calls, technician status, customer communications, and job progress.
- Coordinate with service managers, sales teams, and parts departments to ensure efficient job completion and customer satisfaction.
- Provide outstanding customer service by addressing questions, resolving concerns, and keeping customers informed throughout the service process.
- Assist with follow-up communications, appointment confirmations, and schedule updates.
- Support the department by identifying process improvements that increase efficiency and service quality.
- Ensure dispatching activities are completed accurately and in accordance with company procedures and service standards.
What We're Looking For
- High school diploma or equivalent required.
- Previous experience in dispatching, scheduling, customer service, administrative support, or a related role preferred.
- Experience in HVAC, construction, mechanical contracting, or service industries is a strong plus.
- Familiarity with HVAC systems, terminology, and service operations preferred.
- Proficiency with Microsoft Office (Outlook, Word, Excel) and scheduling or dispatch software.
- Strong organizational and time-management skills with the ability to manage multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- Strong problem-solving abilities and attention to detail.
- Ability to remain calm, professional, and customer-focused in a fast-paced environment.
- Ability to work collaboratively with technicians, customers, management, and other departments.
- Dependable, proactive, and able to work independently when needed.
