As a Records Specialist, you are responsible for maintaining the integrity, accuracy, and security of patient health records within the pediatric outpatient practice. This role ensures timely processing of medical record requests, adherence to HIPAA and compliance regulations, and support for providers and staff in accessing patient information. The Records Specialist plays a key role in ensuring smooth documentation workflows that support quality patient care and efficient practice operations.

What a day looks like as a Records/Referrals Specialist

  • Creating charts for newborn patients and securing intake paperwork.
  • Facilitating intake process for transferring patients including, but not limited to creating charts, sending record releases, reviewing records, contacting patients, and securing intake paperwork.
  • Checking the fax inbox and assigning documents as appropriate.
  • Assisting with intake processes for new site acquisitions.
  • Facilitating process for outgoing record requests for all sites.
  • Assisting Patient Services team with phones.
  • Facilitates outgoing referral requests which include obtaining prior authorization when necessary.
  • Obtains prior authorization for patient medications.
  • Schedules and obtains prior authorization for diagnostic imaging requests.
  • Meets position requirements and performs essential functions.
  • Completes all mandatory training as required.
  • Performs other duties as assigned.

Requirements:

Qualifications

  • Experience in a pediatric medical practice preferred.
  • Working knowledge of computer applications; prior experience with electronic medical records preferred.
  • Ability to speak, read and write effectively.
  • Ability to work independently without direct supervision.
  • Ability to coordinate, analyze, observe, make decisions, and meet deadlines, in a detail-oriented manner.

Working Conditions & Physical Requirements

  • Indoor, temperature-controlled, smoke-free environment.
  • May at times work under stressful situations.
  • Handicapped accessible.
  • Good visual acuity and ability to verbally communicate.
  • Ability to lift, lower, push, pull, and retrieve objects weighing a minimum of 25 pounds.
