Billing/Scheduling Associate III

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Billing/Scheduling Associate III based in the United States.

In this role, you will serve as an experienced scheduling and billing operations professional responsible for supporting complex patient coordination, insurance verification, and administrative workflow management. You will act as a key liaison between patients, healthcare staff, and providers, ensuring smooth scheduling processes and accurate registration activities conducted primarily via phone and email. This position involves handling more advanced operational scenarios, supporting team coordination, and helping maintain high-quality service standards across scheduling functions. You will also contribute to process improvement, staff training, and the efficient management of provider schedules and templates. The environment is structured yet fast-paced, requiring strong organizational skills and attention to detail. This role is ideal for someone who thrives in a supportive leadership capacity while managing multiple administrative and patient-facing coordination tasks.

Accountabilities
  • Oversee and support scheduling and billing workflows to ensure accuracy, compliance, and high-quality service delivery.
  • Coordinate patient scheduling, registration, and insurance information collection via phone and email interactions.
  • Assist in managing provider schedules, scheduling templates, and master calendars according to operational guidelines.
  • Monitor scheduling performance and ensure appointments are appropriately booked in alignment with departmental standards.
  • Triage incoming calls, messages, and requests in collaboration with clinical and administrative teams.
  • Serve as a lead resource by supporting and guiding scheduling staff and assisting with workflow escalation issues.
  • Assist in training new team members and supporting onboarding and ongoing staff development.
  • Help coordinate staffing schedules, coverage planning, and administrative workflow distribution.
  • Prepare reports and support data tracking to assist leadership with operational decision-making.
  • Ensure compliance with organizational policies, regulatory standards, and confidentiality requirements.
  • Provide backup support during peak periods, staff absences, or increased workload demands.
  • Contribute to quality improvement initiatives and operational efficiency enhancements.
Requirements
  • High school diploma or equivalent required.
  • Minimum of 5 years of relevant experience in scheduling, billing, or medical office support.
  • Proficiency in Epic EHR and other scheduling or registration systems.
  • Strong understanding of medical terminology and managed care operations.
  • Excellent computer literacy and data entry skills.
  • Strong telephone communication and interpersonal skills.
  • Ability to manage confidential information with professionalism and discretion.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Ability to work independently while supporting team operations and leadership directives.
  • Experience in medical office coordination, scheduling, or administrative healthcare support preferred.
  • Strong decision-making and problem-solving skills in moderately complex situations.
  • Familiarity with office equipment and standard administrative tools.
