We are seeking 2 Full-Time Client Service Reps

Wage: $17.63/hour

Required: Minimum of 1 year of customer service experience in a fast-paced environment

Preferred: Minimum of 2 years of customer service experience in a fast-paced environment with a variety of client needs

Preferred: 1 year of Animal Handling - Dogs and Cats - experience

General

The Client Service Representative serves Animal Friends Alliance professionally and courteously, providing quality client service at the community clinic’s front desk. This position requires knowledge of policies and procedures and the ability to enter complete and accurate data into our computer system. This position requires confidence and capability in a fast-paced, busy environment. Client Services Representative positions may be either full-time or part-time.

Major Duties and Responsibilities:

  • Provides quality in-person, email, texting, and telephone client service.
  • Provides information on preventive care, hospital services, and post-treatment care.
  • Processes surgery and wellness-related client information, enters computer data, and completes necessary paperwork.
  • Manages appointment schedules to optimize clinic productivity.
  • Handles and records payments for services in the form of cash, credit card, Care Credit, Cherry, and Scratch Pay.
  • Ensures that morning/closing tasks are completed accurately and as assigned, including daily deposits.
  • Keeps accurate and organized medical records and client information.
  • Completes pre- and post-visit calls promptly.
  • Assists with check-ins and check-outs for all services.
  • Completes disease control and cleaning of public areas daily and ongoing throughout the day.
  • Invoices clients for services rendered and processes payments accurately.
  • Sells retail items, encourages donations, and processes both monetary and in-kind donations.

  • Treats animals humanely, with compassion and concern, both on and off the job, and conveys these values to others, in word and action.
  • Represents Animal Friends Alliance in a professional and courteous manner at all times.
  • Provides quality service to customers, volunteers, and staff, recognizing their individual contributions to Animal Friends Alliance.
  • Solicits monetary and in-kind donations by raising awareness of the organization's work, goals, and financial needs.
  • Follows all safety rules to ensure a safe work environment at all times. Takes immediate action to address any safety concerns or noncompliance issues that could put an animal, employee, volunteer, visitor, or the organization at risk.
  • Learns basic duties of other departments, and supports other departments and staff.
  • Monitors, supports, motivates, and accredits volunteers and their work.
  • Understands and operates by Animal Friends Alliance’s core values.
  • Regular and timely presence onsite.

Work Environment

  • Work performed in an animal clinic setting
  • Potential for exposure to zoonotic diseases and cleaning chemicals
  • Potential for exposure to dangerous and fractious animals.
  • Potential exposure to high noise levels when in the kennel area.

Unusual Demands:

  • Work is subject to frequent interruptions.
  • The employee is subject to work weekends, holidays, and beyond the normal scheduled hours of work.
  • Work may be performed outdoors with exposure to all weather conditions
Requirements:

Job Requirements

Education/Experience:

Education

  • Required: High school diploma or equivalent
  • Preferred: College degree

Experience:

  • Required: Minimum of 1 year of customer service experience in a fast-paced environment
  • Preferred: Minimum of 2 years of customer service experience in a fast-paced environment with a variety of client needs

Miscellaneous

  • Valid Driver’s License: Required
  • Sincere interest in Animal Friends Alliance’s mission & vision

Knowledge:

  • Knowledge of Google Suite, including Gmail and Google Drive.
  • Knowledge of Microsoft Office, including Excel
  • Knowledge of ClinicHQ spay/neuter clinic software is a plus
