SUMMARY: The Nature & Science Auction Coordinator coordinates all aspects of the department's weekly Natural History online auctions, from consignment intake through post-sale fulfillment. Responsibilities include processing and tagging incoming material, curating auction lots, coordinating photography and catalog production, writing and editing lot descriptions, and managing packing and shipping of sold property. This role works closely with specialists and other departments to ensure auctions are executed accurately, efficiently, and on schedule. Other duties as assigned.

LOCATION:
South of Dallas/Fort Worth International Airport, NW corner of W. Airport Freeway (Hwy. 183) and Valley View Lane

COMPENSATION: Commensurate based on experience.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Coordinate all aspects of the department's weekly Natural History online auctions.
  • Process, enter, and tag incoming consignments into the auction database.
  • Organize, select, and curate material for online auctions in collaboration with department specialists.
  • Coordinate photography to ensure all auction lots are imaged accurately and on schedule.
  • Research, write, and edit catalog descriptions and condition information for auction listings.
  • Maintain accurate lot records and ensure auction data is complete and up to date.
  • Coordinate packing, shipping, and fulfillment of sold auction invoices.
  • Assist with client inquiries regarding auction lots and post-sale transactions.
  • Collaborate with internal departments to ensure deadlines are met throughout the auction process.
  • Participate in auction previews and other department activities as needed.
  • Perform other duties as assigned.
Requirements:

EDUCATION AND/OR WORK EXPERIENCE

  • High school diploma required; Bachelor's degree preferred.
  • Minimum of two years of experience in auction operations, collections management, cataloging, logistics, or a related field preferred.
  • Experience writing detailed product descriptions or catalog entries is a plus.
  • Knowledge of Natural History, Fine Minerals, fossils, meteorites, or related collectibles is preferred but not required.

SKILLS & ABILITIES

  • Proficiency in Microsoft Office applications, particularly Outlook, Word, and Excel.
  • Excellent organizational, research, and written communication skills.
  • Strong attention to detail and ability to maintain accuracy while managing multiple projects.
  • Ability to prioritize tasks and meet deadlines in a fast-paced, deadline-driven environment.
  • Strong interpersonal skills with a collaborative, team-oriented approach.
  • Positive attitude and commitment to providing exceptional customer service.
  • Ability to lift up to 30 pounds.

WORK ENVIRONMENT

Individuals must be able to work both independently and collaboratively in a fast-paced, deadline-driven environment.

  • Occasional weekend hours and limited travel may be required.
