Position Information
Under the direction of an assigned supervisor, the Point Defiance Marina Complex Program and Event Coordinator is responsible for assisting with development of and coordinating and implementing Point Defiance Marina and other waterfront events, programming, and educational initiatives as well as administrative support for the Marina Supervisor and related managers. This position will work with their supervisor to expand and maintain a robust Marina events and programs catalogue.
In the performance of their respective tasks and duties all employees are expected to:
- Perform quality work within deadlines with or without direct supervision.
- Interact professionally with other employees, customers and suppliers.
- Work effectively as a team contributor on all assignments.
- Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations.
- Observe applicable safety requirements, use safety equipment provided, implement appropriate safety practices at all times and report immediately any unsafe working conditions or hazards.
- Coordinate, schedule, implement and contribute to ongoing development of events and programs with a Marina or STEM focus, which promote the use of Point Defiance Marina facilities and resources and provide engagement opportunities for the public.
- Hire, train, oversee and/or work with part-time staff and/or volunteers to implement recreational programs; schedule, assign and review work.
- Communicate and coordinate activities with other Park District departments and personnel, volunteers, instructors, facility managers, and local schools to implement, facilitate and promote events and programs.
- Plan, promote, and market programming and special events including drafting press releases, creating and maintaining an annual program and event calendar, creating and managing event descriptions, creating and posting event news to social media sites (e.g. Twitter, Facebook, Instagram); working with supervisor and design and marketing teams to produce electronic and hard-copy posters and other promotional literature.
- Provide special event planning, implementation and coordination including coordinating site preparation with staff, volunteers, Parks Tacoma, and vendors, as needed; providing day-of instructions and supplies to volunteers; supervising event activities and scheduling support from staff.
- Utilize district wide software systems to manage customer information, invoicing, reservations, volunteer coordination, and other tasks as assigned.
- Maintain various records and files related to events and programs, including records of budget information and program reservations; gather and provide information for future budget preparation.
- Participate on staff committees, special projects, task forces, and meetings as needed.
- Coordinate and perpetuate environmental awareness and sustainability components for Marina programs, events and outreach programs.
- Assist with seeking out, applying for and procuring grants for Marina programming and other initiatives.
- Operate Parks Tacoma vehicles as needed for on and off-site events.
- Other duties as assigned.
Education & Experience:
- Two years of experience in community engagement program management and event coordination required.
- Bachelor's degree in education, recreation, management, communications, or related field required. An additional four years of related experience may substitute for the required degree.
- Familiarity with ActiveNet, Canva, Molo, Lightspeed, Better Impact, Constant Contact is desired.
Licenses & Other Requirements:
- Valid Washington driver's license with acceptable driving record
- Obtain a valid First Aid and CPR Card within the probationary period.
- Must be able to work a flexible schedule as needed.
Environment:
Includes Indoors, outdoors, office environment, driving vehicles, on/over water work.
While the majority of the work is to be performed during standard business hours, weekend and evening work will be required.
Physical Abilities:
- Dexterity of hands and fingers to operate computer keyboard, other office equipment and a motor vehicle.
- Standing for extended periods of time.
- Walking, kneeling, bending or crouching.
- Hearing and speaking to exchange information and make presentations.
- Seeing to read and develop materials, prepare records and reports.
- Walking over rough or uneven surfaces during field trips.
- Ability to lift at least 20 lbs to shoulder height.
- Ability to assist individuals with mobility limitations including, but not limited, in and out of vehicles and up and down stairs.
Hazards:
- Contact with dissatisfied or abusive individuals.
- Exposure to adverse weather conditions and open water situations.
Knowledge of:
- Event planning and coordination techniques.
- Volunteer coordination for events, programs and workshops.
- Operate the Microsoft office suite of products
- Plan, coordinate and manage a variety of projects and special events
- Read, interpret, apply and explain rules, regulations, policies and procedures.
- Communicate clearly verbally and in writing.
- Perform emergency first aid and CPR as needed and according to established guidelines.
- Extract and record data and carry
- Manage time efficiently and effectively through scheduling and prioritizing.
- Work within and contribute to the effectiveness of a team, respecting differences.
- Report for work regularly and on time.
- Input payroll accurately and timely.
