Job Overview:

The Onboarding Manager is responsible for overseeing the daily operations related to onboarding new clinical providers within the Acute Care Providers Service Line. This role serves as the central point of coordination across multiple departments to ensure providers are onboarded efficiently, compliantly, and on schedule. The Manager will drive process improvement, ensure operational accuracy, and support strategic initiatives within the service line.

Qualifications:

Required:

  • Minimum of 1-2 years of experience in healthcare administration, operations, or practice management.
  • Proficiency in Microsoft Office applications and related systems.
  • Demonstrated ability to collaborate effectively across multiple departments.
  • Exceptional organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced healthcare environment.

Preferred:

  • Bachelor’s Degree

Scheduling Requirements:

  • Full-Time, Salaried position– 40 hours a week.
  • Hybrid on-site in West Orange, NJ 3-4 days per week
    • 9-5 PM EST
  • Travel to other system locations as required by business needs

Essential Functions:

  • Onboarding & Offboarding (HR, Medical Staff Privileges, Payor Enrollment)
  • Support the Director in managing daily onboarding operations for new Acute Care providers across the health system.
  • Assist in developing, implementing, and refining onboarding workflows to ensure streamlined and standardized processes.
  • Lead and facilitate weekly meetings (division level) with internal stakeholders, including Human Resources, Payer Enrollment, Credentialing, and Medical Affairs.
  • Serve as the primary liaison between departments to proactively identify and resolve onboarding delays, risks, and process gaps.
  • Track and monitor provider onboarding and offboarding status to ensure accuracy across all relevant systems.
  • Ensure provider terminations are processed accurately and communicated to all appropriate stakeholders in a timely manner.
  • Continuously evaluate onboarding workflows and recommend improvements to enhance efficiency, compliance, and provider experience.
  • Support the Director in auditing credentialing application files to ensure completeness and regulatory compliance.
  • Contracting Partner with the Service Line Contracting Lead to support the Contraxx workflow for physician contracts aligned with the Acute Care Providers Service Line (new hires and when appropriate - existing providers).
  • Assist the Director in coordinating with Service Line leadership, Contracting, Legal, and Recruitment to ensure template compliance and accurate submission into the Contraxx database.
  • Participate in special project teams as assigned.
  • Contribute to the achievement of individual, team, and departmental goals.
  • Support operational initiatives that enhance provider services and overall service line performance.
  • Perform other duties as assigned.
