About the role:

The Administrative assistant supports daily administrative operations of our company including scheduling, customer service, document management, ordering office materials, and communication with company staff.

What you'll do:

  • Answer and route incoming calls; provide friendly, professional customer service
  • Schedule estimates, plastering jobs, inspections, and crew dispatch
  • Maintain accurate job files and records (paper and digital)
  • Assist with invoicing, purchase orders, and basic bookkeeping tasks
  • Communicate with customers regarding appointments, timelines, and service updates
  • Coordinate with suppliers, subcontractors, and inspectors as needed
  • Prepare documents such as contracts, work orders, and job folders
  • Support hiring/onboarding paperwork and time tracking
  • Ensure the office is clean, stocked, and organized
  • Perform other administrative duties as assigned to support the team

What we are looking for:

To effectively perform the duties for this position, individuals must be able to demonstrate competencies that are essential to the position, which include:

  • The ability to work from our Dallas office Monday-Friday
  • High School Diploma or GED
  • 2+ years of administrative or office experience (construction/trades preferred)
  • Strong communication and organizational skills
  • Proficient with Microsoft Office (Word, Excel, Outlook) and Google Workspace
  • Experience with scheduling software, QuickBooks, or CRM systems is a plus
  • Ability to multitask and prioritize in a fast-paced environment
  • Friendly and professional demeanor—comfortable dealing with customers and crews
  • Bilingual (English/Spanish) preferred but not required

Physical Requirements/Work Environment:

  • Prolonged periods sitting at a desk and working on a computer
  • Occasional lifting of office supplies or job folders (up to 20 lbs)
