Executive Assistant

Location: North Dallas (Bent Tree Area)

About the Role

Dynamic entrepreneur seeking a highly experienced executive assistant to coordinate the buildout of structured processes across his expanding organization. This newly established role suits an experienced coordinator who can proactively anticipate the executive's needs and help transform a fast-paced, evolving environment into a seamless and efficient operation. This role requires exceptional organizational judgment and the ability to create clarity and structure in a fast-paced environment with constant incoming information. Integrity, discretion, and professionalism must consistently guide all responsibilities.

Key Responsibilities

  • Schedule: Actively manage and maintain the executive's detailed daily schedule to optimize productivity and efficiency.
  • Information: Support decision making by ensuring executive has all necessary information in a clear, concise, and digestible format. Maintain systematically organized files.
  • Task Management: Create, update, and manage the executive's task list, proactively schedule dedicated calendar time, and prepare a comprehensive daily briefing book.
  • Team Building: Foster strong relationships with other team members to align goals.
  • Communication: Expertly manage executive's communication across all channels to serve as strategic point of contact (gatekeeper) for all relationships, prioritizing and responding effectively.
  • Business Operations Management: Help design, implement, and monitor workflow processes across the organization and ensure those processes are efficient and being continuously refined.
  • Travel: Coordinate complex travel arrangements, optimizing frequent flyer benefits and convenience.
  • Meetings and Follow-up: Prepare for meetings by creating agendas, briefing materials, and detailed notes. Ensure action items from all participants are completed (executive and others) to maintain momentum. Convert discussions and ideas into clearly assigned tasks with deadlines.
  • Relationship Management: Organize and maintain contact database including keeping track of key relationships.
  • Support: Primarily professional support, with occasional personal tasks and seamless coordination with team members responsible for personal and household management.
  • Conferences and Events: Serve as the primary coordinator for the company's participation in industry conferences and trade shows throughout the year, managing substantial budgets, registrations, team travel arrangements, hospitality, scheduling, and exhibition logistics.
  • Ad Hoc Projects: Ability to take ownership of new and complex projects.

Qualifications and Skills

  • Extensive Executive Assistant experience, ideally supporting C-suite executives or entrepreneurs managing multiple ventures.
  • Exceptional project management and organizational skills with the ability to establish and improve organizational processes.
  • Excellent travel coordination skills, including optimizing frequent flyer programs.
  • Proven capability to handle sensitive and confidential matters.
  • Impeccable written and verbal communication skills with the ability to draft clear and compelling correspondence.
  • Strong time management and multitasking skills.
  • Meticulous grammar, spelling, and etiquette.
  • Expert proficiency with Microsoft Office Suite, particularly Outlook, Word, and SharePoint.
  • High aptitude to learn new technology tools.
  • Basic familiarity with CRM systems.
  • CAP or PACE, preferred.
  • Bachelor's degree, preferred.

Compensation and Benefits

  • Annual salary: $125,000
