Requirements:

Billing & Claims Processing

  • Prepare, review, and submit anesthesia claims accurately and timely to commercial insurance carriers, Medicare, Medicaid, and other payers.
  • Verify completeness and accuracy of anesthesia documentation, including:
    • Time units
    • Base units
    • Physical status modifiers
    • Provider information
    • Diagnosis and procedure codes
  • Ensure claims are compliant with payer guidelines, anesthesia billing regulations, and ASC billing requirements.
  • Monitor claim status and resolve claim rejections, denials, underpayments, and payment discrepancies.
  • Submit corrected claims, appeals, and supporting documentation as needed.
  • Maintain accurate billing records and documentation within billing and electronic medical record systems.

ASC & Ophthalmology-Specific Responsibilities

  • Coordinate anesthesia billing processes related to outpatient ophthalmologic, and vision surgical procedures performed in the ASC setting.
  • Review operative schedules, anesthesia records, and supporting documentation to confirm accurate case information and billing data.
  • Understand distinctions between facility billing and professional anesthesia billing within the ambulatory surgery center environment.
  • Work collaboratively with surgery scheduling and authorization staff to ensure insurance information and required authorizations are obtained prior to procedures.
  • Maintain familiarity with payer requirements specific to ambulatory surgery centers and ophthalmology-related anesthesia services.
  • Coordinate with anesthesia providers, surgeons, and facility leadership regarding documentation clarification and reimbursement matters.

Accounts Receivable & Collections

  • Conduct follow-up on unpaid, delayed, or denied claims.
  • Research and resolve billing discrepancies and payer issues in a timely manner.
  • Maintain aging reports and actively manage assigned accounts receivable queues.
  • Communicate with insurance carriers regarding claim status, authorization issues, and reimbursement concerns.
  • Respond professionally and confidentially to patient billing inquiries and payment requests.
  • Assist with identifying trends related to denials, underpayments, or reimbursement delays.

Coding & Compliance Support

  • Collaborate with staff and providers to ensure accurate CPT, ICD-10, HCPCS, and anesthesia modifier usage.
  • Maintain working knowledge of anesthesia billing rules, payer regulations, and ASC reimbursement methodologies.
  • Support compliance with HIPAA and all applicable federal, state, and payer regulations.
  • Assist with internal audits, documentation requests, and compliance reviews as needed.
  • Maintain confidentiality of patient, financial, and operational information.

Administrative Responsibilities

  • Post payments, adjustments, refunds, and reconciliations accurately and timely.
  • Assist with month-end reporting and reconciliation processes.
  • Maintain organized electronic and paper billing records as required.
  • Participate in process improvement initiatives to enhance billing efficiency, reimbursement accuracy, and workflow effectiveness.
  • Support cross-functional communication between the billing department, anesthesia providers, surgery center staff, and facility leadership.
  • Perform additional administrative or billing-related duties as assigned.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent required.
  • Minimum of seven (7) years of medical billing experience required.
  • Minimum of three (3) years of anesthesia billing experience required.
  • CPC (Certified Professional Coder) required.
  • Knowledge of CPT, ICD-10, HCPCS coding, and anesthesia modifiers.
  • Familiarity with Medicare, Medicaid, commercial payer guidelines, and ASC reimbursement methodologies.
  • Understanding of anesthesia time-based billing methodologies and payer-specific requirements.
  • Proficiency with billing software, electronic medical records systems, and Microsoft Office applications.
  • Strong attention to detail, organizational skills, and analytical abilities.
  • Excellent communication, customer service, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced healthcare environment.

PREFERRED QUALIFICATIONS:

  • Associate degree preferred.
  • Prior ambulatory surgery center (ASC) billing experience strongly preferred.
  • CPB (Certified Professional Biller) preferred.
  • AAPC Credentialing preferred.

PHYSICAL/MENTAL REQUIREMENTS:

  • Prolonged periods of sitting and working at a computer workstation.
  • Frequent use of hands and fingers for keyboarding, data entry, and operation of standard office equipment.
  • Ability to communicate effectively via telephone, video conferencing, and in person.
  • Visual acuity sufficient to review detailed medical records, billing data, insurance information, and computer screens.
  • Occasional standing, walking, bending, reaching, and lifting or moving office materials up to 15–25 pounds.
  • Ability to maintain concentration and accuracy in a fast-paced, high-volume billing environment with frequent interruptions.
  • Manual dexterity and repetitive hand movement required for extended computer use.

POSITION ENVIRONMENT, TYPE AND EXPECTED HOURS OF WORK

This position is primarily sedentary and involves prolonged periods of sitting and computer work, with occasional standing, walking, and movement throughout the facility as needed to collaborate with staff, access records, or attend meetings.

The work environment is a professional office environment within an Ambulatory Surgery Center (ASC) and is typically quiet to moderate in noise level but may become fast-paced.

This is a full-time, non-exempt position. Days of work are Monday through Thursday, with working hours of 7:00 a.m. to 4:30pm, subject to change based on case load.
