Job Description
We are seeking an experienced and proactive Office Manager to oversee daily operations in a fast-paced office of 30+ employees. This role is essential to ensuring smooth administrative functions, supporting staff, and maintaining an organized and productive work environment.
Key Responsibilities:
- Manage day-to-day office operations and ensure efficient workflow
- Assist attorneys and staff with daily requests
- Maintain vendor relationships and all firm accounts (i.e. monthly or yearly subscriptions and renewals)
- Support HR functions such as onboarding, employee records and open enrollment
- Assist leadership with reporting, budgeting, and operational tasks
- Accounts Payable (issuing and keeping track of monthly payments to vendors)
- Ensure office policies and procedures are followed and updated as needed
- Coordinate holiday events/ activities
- Efficiency in processing payroll and applicable laws/ requirements
- Reconciliation of firm credit cards
- Assist Billing Coordinator with internal billing process
- Minimum of 2 to 3 years of experience as an Office Manager or similar role in an office with 20+ employees
- Strong organizational and multitasking skills
- Excellent leadership and team coordination abilities
- Proficiency in Microsoft Office and office management systems
- Strong communication and problem-solving skills
- Ability to handle confidential information with discretion
Preferred Skills:
- Experience in [industry, if applicable—e.g., legal, real estate, corporate]
- Familiarity with HR and basic accounting processes
- Bilingual (English/Spanish) is a plus
