Sales Coordinator

This role sits at the core of a fast-paced sales and events organization, ensuring that commercial, financial, and operational processes run smoothly from contract initiation through program execution. You will support Strategic Account Management teams by managing documentation, coordinating cross-functional workflows, and maintaining accurate reporting across pricing, pacing, and commissions. The position requires strong analytical ability, attention to detail, and comfort working with structured data and contract documentation. You will act as a key connector between Sales, Finance, and Operations, helping ensure alignment across all program elements. This is a highly collaborative and detail-oriented role where accuracy, organization, and responsiveness directly impact client delivery and business performance. You will also contribute to process improvements and tools that enhance efficiency and consistency across teams.

Accountabilities

You will be responsible for supporting the full lifecycle of sales programs, ensuring accuracy, compliance, and operational readiness across all related documentation and reporting. Key responsibilities include:

  • Prepare, update, and manage MSAs, SOWs, Change Orders, and related sales documentation, ensuring proper version control and approvals.
  • Coordinate with Sales and Operations teams to confirm pricing, scope, and contractual alignment.
  • Build and maintain pacing, pickup, commission, rebate, and forecasting reports to monitor program performance and trends.
  • Support accurate commission and rebate processing by partnering with Finance, Accounting, and Collections teams.
  • Develop and maintain Excel-based tools, dashboards, and reconciliation files to support analysis and reporting needs.
  • Validate data accuracy, resolve discrepancies, and standardize reporting templates to improve efficiency.
  • Manage incoming requests from internal stakeholders, ensuring prioritization and timely delivery of outputs.
  • Support coordination of site visits, including logistics, scheduling, and stakeholder communication.
  • Contribute to process improvements and workflow optimization across sales operations activities.
Requirements

This role requires strong organizational ability, analytical thinking, and experience working with sales operations or contract-related processes. Candidates should have:

  • Associate or Bachelor’s degree preferred, or equivalent experience.
  • Strong Excel skills, including experience with reporting, reconciliation, and data validation.
  • Understanding of contracts such as MSAs, SOWs, and Change Orders and their operational impact.
  • Excellent attention to detail with the ability to review and correct complex information.
  • Strong communication skills and ability to collaborate across Sales, Finance, and Operations teams.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong problem-solving skills and ability to work independently with minimal supervision.
  • Familiarity with sales operations, events, hospitality, or commission-based environments is a plus.
  • Exposure to forecasting, pacing, or revenue tracking is preferred.
  • Interest in process improvement and workflow optimization.
