About the Role:
The Office Coordinator plays a pivotal role in ensuring the smooth and efficient operation of the office environment. This position is responsible for managing daily administrative tasks, coordinating office activities, and serving as a central point of contact for internal teams and external partners. The successful candidate will facilitate communication across departments, oversee office supplies and equipment, and support event planning and meeting coordination. By maintaining organized systems and fostering a positive workplace atmosphere, the Office Coordinator contributes directly to overall productivity and employee satisfaction. This role requires a proactive approach to problem-solving and the ability to manage multiple priorities in a fast-paced setting.
Minimum Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred.
- Proven experience in office administration or coordination roles.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Experience with office management software or tools such as Google Workspace or project management platforms.
- Familiarity with basic accounting or budgeting principles.
- Prior experience in a corporate or fast-paced office environment.
- Ability to handle confidential information with discretion.
- Customer service experience or background in human resources support.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Delivers the HSO brand promise of putting the patient/customer at the center of all we do
- Competently operates standard office equipment.
- Receives Central Office phone calls and messages and directs accordingly.
- Greets and directs Central Office guests.
- Receives and distributes mail from both the courier and the post office.
- Sends standardized collection notices for A/R Dept.
- Meters and prepares outgoing mail as directed for the courier and the post office including certified mail and collection notices.
- Prepares executive correspondence and other PC based applications, along with other Central Office typing, utilizing personal computer software.
- Performs general office duties for various management personnel.
- Responsible for filing correspondence, newsletter, etc.
- Maintains inventory of office supplies and organizes supply closet.
- Exhibits brand characteristics of Friendly, Accessible, and Credible
- Research in Nextgen address for returned mail.
- Scanning company mail and distributing – due to remote work.
- Process credit card payments through Instamed.
- Distribute QI reports.
