Faculty Administrative Assistant – Diagnostic Imaging Program Administration

Job Summary:
Based in Diagnostic Imaging & Interventional Radiology Program Administration, the Faculty Administrative Assistant position provides a variety of administrative support functions for department faculty & administration leadership. This includes overall coordination of program administrative support activities to ensure the smooth & efficient operation of the program

The Ideal Candidate:
- Demonstrates a high degree of technical competence, intrapersonal skills, attention to detail, independent critical thinking, and decision-making.
- Clinical administrative professional with the ability to appropriately coordinate and handle sensitive and confidential information.
Responsibilities:
- Coordinate projects as assigned by the Program Support Supervisor, Department Chair, and Department Administrator.
- Provide superior Outlook calendaring and complex calendar management to several faculty.
- Maintains non-conflicting daily schedules of appointments, meetings, frequently coordinated internal and external meetings with multiple attendees.
- Reviews, enters, and maintains several on call schedules for all department surgeons and surgical APPs.
- Prepare reports for meetings and academic or research abstract.
- Organize and maintain accurate records, which include, but are not limited to, licensing, memberships, certifications, W-9, CVs, and PDF expenditures, etc.
- Maintain knowledge of policies within the program and hospital to actively resolve problems/conflicts, while recommending solutions, initiating action, and follow-up.
Credentials and Qualifications:
- High School Diploma required; Associate degree preferred.
- Minimum of two (2) years’ administrative assistant experience required; medical setting preferred.
- Requires knowledge of office processes, workflows, and advanced MS Office applications i.e. Word, Excel, PowerPoint.
- Must have excellent customer service skills and experience working with patients and the public.
- Excellent verbal & written communication skills, familiarity with medical terminology and office organizational protocols & procedures, interpret and apply instructions to assigned activities.
- Must be an independent team member that is engaged, proactive, and highly motivated.
