Position Profile
Provides front desk and administrative support to ensure efficient day-to-day office operations. Serves as the first point of contact by answering and routing calls, greeting and assisting visitors, and communicating information accurately and promptly. Prepares and distributes documents and correspondence, manages routine clerical tasks (including copying, scanning, filing, and mail distribution), maintains daily postings, coordinates conference room scheduling, supports special projects, and provides backup coverage for executive administrative functions as needed.
Key Responsibilities
- Managing incoming calls and visitors with professionalism.
- Answers incoming calls and greets visitors courteously and professionally.
- Ensures visitors sign in and notifies appropriate personnel upon arrival.
- Takes messages and/or routes calls to the appropriate person.
- Communicates relevant information via email, phone, or fax accurately and in a timely manner.
- Provides high-quality clerical and administrative support.
- Prepares and processes correspondence, memos, charts, and other materials as requested; proofreads documents and distributes them following review and approval.
- Photocopies, faxes, scans, and files documents as needed.
- Distributes and routes information to appropriate staff, including mail, faxes, and interoffice correspondence.
- Coordinates conference room scheduling.
- Provides backup coverage for the Executive Assistant, as needed.
- Provides clerical support for special projects and ongoing initiatives
- Maintains and enhances professional skills.
- Adheres to high standards of personal and professional conduct.
Minimum Qualifications
- Minimum two years of multi-line phone experience.
- Minimum two years’ experience with administrative support.
- Exceptional customer service and phone skills to interact with others in a pleasant, helpful and cooperative manner. Clear speaking voice and skilled in projecting enthusiasm and warmth over the telephone.
- Ability to give and follow written as well as oral instruction.
- Possess neat and professional image
- Ability to perform assigned duties with attention to detail, speed, accuracy and follow through with minimal supervision.
- Ability to gather and interpret data from different sources. Good problem solving/critical thinking abilities.
- Ability to work in a fast paced environment with frequent interruptions
Preferred Qualifications
- Previous medical office/health care experience.
