Payroll Implementation Sr Specialist

This role sits at the intersection of client onboarding, payroll expertise, and systems implementation, ensuring new clients experience a seamless transition into payroll and HR platforms. You will act as the primary point of contact from post-sales through go-live, translating client needs into fully configured payroll and HCM system setups. The position blends technical configuration, client-facing consulting, and process ownership in a fast-paced, service-driven environment. You will support multi-state payroll implementations, troubleshoot system issues, and ensure accuracy from the very first payroll cycle. Beyond implementation, you will help shape scalable processes, documentation, and training resources that improve the overall client experience. This is a highly impactful role where precision, communication, and operational excellence directly influence client success and retention.

Accountabilities

In this role, you will own end-to-end payroll implementation and client onboarding while ensuring accurate system configuration and a smooth transition to ongoing services. You will act as a trusted guide for clients during setup, training, and first payroll execution.

  • Serve as the primary implementation contact from sales handoff through client services transition, ensuring alignment on scope and expectations
  • Lead discovery and needs analysis sessions to capture payroll, HR, timekeeping, and compliance requirements
  • Configure payroll systems, reporting structures, and related modules (HR, ACA, benefits, timekeeping) based on client specifications
  • Execute and validate first payroll runs to ensure accuracy and continuity from legacy systems
  • Train clients on system usage, workflows, and best practices for payroll processing and compliance
  • Manage data migration from prior providers, ensuring completeness and correctness for go-live readiness
  • Develop and maintain documentation, templates, and training materials to support scalable onboarding processes
  • Provide second-tier troubleshooting support and manage resolution of payroll system issues and service cases
  • Support platform transitions, system upgrades, and ongoing process improvements across client implementations
Requirements

This role requires strong hands-on payroll systems expertise combined with client-facing communication skills and the ability to manage multiple implementations simultaneously in a detail-driven environment.

  • 5+ years of experience in payroll implementation, payroll operations, or HCM system configuration (multi-state payroll strongly preferred)
  • Deep understanding of payroll systems setup, configuration, reporting, and workflow design
  • Strong knowledge of payroll tax processes, including multi-state tax compliance and remittance rules
  • Experience working with HR/payroll platforms and integrated HCM solutions
  • Advanced proficiency in Microsoft Excel and comfort with data analysis tools
  • Strong communication skills with the ability to translate technical payroll concepts for clients of varying expertise
  • Highly organized with the ability to manage multiple projects, deadlines, and client implementations simultaneously
  • Strong attention to detail, problem-solving ability, and urgency in execution
  • Bachelor’s degree in Business, Accounting, Finance, or related field preferred
  • Positive, adaptable, and service-oriented mindset with strong collaboration skills
