Job Description:
The Goodman Community Center Older Adult Program supports GCC's mission by offering older adults in our community an array of activities to enrich their lives through life-long learning, fun recreational and social events, and health and wellness programming.
This position helps manage the health & wellness activities, special events, and daily lunch service per the guidelines and requirements set by our funders while ensuring our participants and volunteers feel valued and welcome.
Responsibilities/Duties/Functions/Tasks
- Assist with outreach to address priority areas of service, promote older adult programs & services, and recruit potential participants.
- Create program calendars and flyers.
- Provide follow-up phone calls, program reminders, and program updates.
- Coordinate special events and event promotion and assist with evaluation.
- Collaborate with other department staff to ensure the successful execution of programs and events.
- Oversee daily activity coordination. Ensure facilitators have the space and resources needed and collect attendance.
- Monitor the daily attendance and registration process and ensure timely attendance and registration forms are entered into City Span.
- Work with the Newbridge Assistant Nutrition Manager to provide timely monthly attendance numbers and dining site donation amounts. Collaborate with the GCC finance department to ensure the accuracy of reports and invoices.
- Greet and assist new participants with registration forms and orient them to the program and activities.
- Supervise and support older adult program volunteers. Provide backup support as needed. Manage the volunteer schedule, including finding replacement volunteers or staff if shorthanded. Ensure volunteers are recording volunteer hours via GCC's software program.
- Ensure all Dane County Nutrition Site and NewBridge contract standards are met, including food safety, nutrition requirements, recordkeeping, and meal site guidelines.
- Facilitate Senior Meal Site Volunteer Orientation and food safety training requirements.
- Organize transportation services for Older Adult participants through Transit Solutions.
- Keep participants informed of program changes, updates, and other important information.
- Attend required Dane County Meal Site Coordinators training and food safety certification.
- Communicate with the Assistant Director of Older Adult Programs about challenging participants to facilitate finding appropriate support.
- Help manage any participant or volunteer concerns or disputes promptly and professionally. Keep the Assistant Director of Older Adult Programs informed of challenges and seek advice to provide appropriate resolution.
- Check email at least daily while on shift.
- Attend all-staff meetings and other meetings as required.
Qualifications
- Experience with food service.
- Experience volunteering or working with volunteers.
- Ability to work well under pressure.
- Experience with and Interest in supporting adults 60 years and older.
- Strong organizational and problem-solving skills.
- Consistently demonstrate an ability to respond to changing situations flexibly.
- Ability to work both independently and as part of a team.
- Proficient computer skills in Microsoft Outlook and Word.
- Strong organizational and problem-solving skills.
- Ability to lift to 30 pounds or more.
- Ability to be on your feet for extended periods.
Special Position Requirements
- Previous experience as a meal site coordinator.
- Excellent interpersonal skills and even temperament.
- Effective conflict management skills.
- Background experience in human services.
- Calm demeanor and positive attitude.
- Prompt and dependable.
- ServSafe Manager certified within 60 days of employment

- Knowledge of evidence-based health & wellness programming for older adults.
- Obtain Serve Safe Manager Certification within 60 days of employment.
- A valid driver's license and an insurable driving record.
Physical Requirements
- Capable of maintaining a healthy work-life balance with a flexible and adaptable schedule.
- Ability to move up to 50 pounds with or without accommodations.
- Ability to stand, reach, and bend for the entire work schedule.
- Ability to operate a computer and perform sedentary work as necessary.
