Assistant RegistrarUnder the direction of the Lead Associate Registrar, the Assistant Registrar is responsible for managing several key functions within the office, including grade submission, transcript ordering, the evaluation of summer coursework, and major/minor declarations. The Assistant Registrar also provides direct support to students – troubleshooting registration and other system issues, and responding to policy and procedural questions about the office’s services. The Assistant Registrar works closely with the Lead Associate Registrar to assign classrooms and schedule final and deferred exams. Additionally, this position is a key contributor to the Registrar’s administrative team and will work with the team to ensure a successful transition to Workday Student.Job Description:
- Manage the grade submission process, including following up with faculty on missing grades and processing manual grade updates when needed. Respond to grades email account.
- Assist the Lead Associate Registrar to coordinate deferred exams.
- Assign classrooms for courses and final exams, working closely with the Lead Associate Registrar.
- Provide high-level support during peak Registration periods, working with students to troubleshoot registration errors. Process manual adds, drops, and withdrawals.
- Facilitate the Major and Minor Declaration & change process, updating the Student Information System and coordinating with relevant department chairs and DAs as needed.
- Manage the Transcript ordering process, including fulfilling requests and responding to inquiries
- Produce official enrollment & degree verifications for students & 3rd parties, performing research as needed
- Assist students and alumni with name changes, other updates to student records, diploma replacements, and apostille requests
- Evaluate summer coursework (taken at Columbia & elsewhere) for transfer credit. Post approved courses and associated fees to the student record.
- Develop and maintain "Generalist" knowledge of office procedures and policies, in order to manage replies to the main office email account, phones and occasional walk-in traffic.
- Provide exam conflict letters.
- Support the Workday Student implementation project, including data entry and testing as needed.
- Perform other duties and special projects as assigned.
Skills, Qualifications & Requirements:
Knowledge, Skills, and Abilities:
- Seeking a candidate with a strong desire to master the complexities of academic policy and grow within the Office of the Registrar.
- Ability to analyze and interpret College policies and procedures in order to respond effectively to detailed inquiries from students, faculty, and parents and provide context during curricular discussions.
- Experience managing multiple projects, meeting deadlines, and working independently.
- Strong technical computer skills, including work with an integrated student information system (preferably Ellucian Colleague, Slate, and/or Workday Student).
- Experience with data collection and analysis (e.g. running, creating and analyzing reports)
- Ability to analyze business processes and identify ways to create service improvements and other efficiencies.
- Experience and knowledge working with FERPA.
- Excellent verbal and written communications skills.
- Detail-oriented approach; must be precise and accurate in work.
- Comfortable working independently and as a member of a team.
- Ability to take initiative and work proactively with minimal supervision.
- Ability to accomplish goals and objectives while under pressure.
- Ability to work collaboratively with faculty, students, alumnae, and colleagues.
- Strong interpersonal and relationship-building skills.
- Demonstrated high levels of accountability, accuracy and confidentiality.
Qualifications:
- Bachelor’s degree (Master’s preferred).
- Significant related work experience in higher education (minimum 4 years), with experience in a registrar’s office or closely related office.
- Previous experience with academic records, grading and classroom support is preferred.
- A demonstrated interest in advancing a career in registrar or enrollment services.
- Strong computer skills, including work with an integrated student information system, with an aptitude for learning new software systems. Experience with classroom scheduling software is highly desirable.
- Proficiency in MS Office suite products (especially Excel) and the Google suite of products.
|Salary Range: $70,000 - $80,000
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the College's good faith and reasonable estimate of the range of possible compensation at the time of posting.
