About the role
We are seeking a highly organized and proactive Executive/Personal Assistant to support our CEO and CPO. This role is perfect for someone who enjoys variety, thrives in a dynamic environment, and wants to grow alongside innovative, fast-moving companies. You’ll play a key role in keeping operations smooth and projects on track. This role is onsite requiring a presence in the office 5 days per week.
What you'll do
- Manage complex calendars, meetings, appointments, and competing priorities for two executives across multiple businesses.
- Maintain a centralized task, deadline, and follow-up system spanning each executive's various ventures.
- Proactively remind executives of commitments, deadlines, decisions, and outstanding items.
- Turn meetings and conversations into clear action items, owners, and due dates, and follow through to completion.
- Prepare meeting agendas, materials, notes, and follow-up items.
- Draft routine emails and coordinate communication with employees, vendors, consultants, and business partners across the portfolio of businesses.
- Coordinate business and personal travel, reservations, appointments, and logistics for both executives.
- Provide reasonable personal assistance, including household/vendor and family scheduling coordination.
- Organize executive documents, records, receipts, and other information across multiple business entities.
- Provide a concise weekly priorities and outstanding-items report to keep both executives aligned.
- Anticipate administrative needs, identify potential conflicts or missed deadlines, and proactively resolve routine issues.
- Handle sensitive business, personnel, financial, and personal information with exceptional discretion.
Qualifications
- Bachelor's degree in Business Administration, Communications, or related field, or equivalent experience.
- 3+ years of experience in executive support or a related role.
- 2+ years of experience working in a startup or fast-paced environment.
- 2+ years of experience with Google Suite.
- 2+ years of experience with project management tools (e.g., ClickUp, Monday.com).
The pay range for this role is:
60,000 - 70,000 USD per year(Corporate)
