The following is a list of job duties and responsibilities, including essential and marginal tasks:
The Administrative Specialist coordinates and supports agency facility, fleet, and property maintenance activities across the service area. Key responsibilities include managing maintenance requests and service tickets, coordinating preventive maintenance programs, tracking repairs and maintenance schedules, maintaining fleet records and documentation, and serving as a liaison with vendors and contractors. This position assists with building maintenance, security, groundskeeping, and facility-related issues. The Administrative Specialist prepares operational reports, maintains accurate records, and ensures maintenance needs are addressed efficiently and proactively. Some travel throughout the service area, occasional evening and weekend work, and proficiency with Microsoft Office applications are required. As part of a Trauma-Informed System of Care, all employees must participate in Trauma-Informed Care training.
Minimum Job Qualifications
Applicants must meet the following minimum qualifications to be eligible for the position:
- High school diploma or GED.
- Three (3) years of experience in a complex office environment.
- Must possess a valid Texas Driver's License and maintain an insurable driving record.
Preferred Job Qualifications
- An Associate's degree.
- Five (5) years of experience in fleet management, facilities coordination, or high-level administrative support.
Knowledge, Skills, and Abilities
- Knowledge of office management principles and practices, and administrative procedures.
- Knowledge of vehicle operations and management of vehicles.
- Knowledge of basic safety principles and practices.
- Skill in preparing and generating reports.
- Skill in managing complex timelines, such as multi-phase facility upgrades or large-scale personnel training deadlines.
- Skill in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and comfortable learning specialized fleet management software.
- Skill in professional writing for drafting formal memos and agency-wide directives.
- Ability to communicate effectively in both verbal and written formats.
- Ability to work independently in a fast-paced environment.
- Ability to effectively handle multiple assignments in a stressful, dynamic environment.
- Ability to implement new systems and procedures and evaluate their effectiveness.
- Ability to work effectively with individuals from diverse communities and cultures.
- Ability to work with confidential information.
