Job Description

Job Summary

The Surgery Scheduler coordinates and schedules surgical procedures and related appointments while serving as a liaison between patients, physicians, hospitals, insurance providers, and clinical staff. Ensures all pre-operative requirements, including authorizations, referrals, medical clearances, testing, consents, and patient documentation, are completed and accurately maintained prior to surgery. Coordinates complex schedules, communicates procedural information to patients and providers, maintains reports and tracking systems, and supports efficient clinic and surgical operations. Provides exceptional customer service, maintains confidentiality of patient information, and promotes a positive patient experience throughout the surgical scheduling process.

  1. Minimum Job Requirements :

Work Experience:

One year of scheduling, medical office, patient access, or healthcare administrative experience required.

Experience scheduling surgical procedures, coordinating referrals, or obtaining insurance authorizations preferred. Experience in a specialty clinic, surgical practice preferred.

License/Registration/Certification:

None

Education and Training:

High School Diploma or equivalent required.

Associate degree in Healthcare Administration, Medical Office Administration, or a related field preferred.

Skills:

Knowledge of medical terminology, basic anatomy, and surgical scheduling processes.

Knowledge of insurance verification, prior authorization, and referral requirements.

Ability to communicate effectively, both orally and in writing, with patients, physicians, staff, and external partners.

Ability to organize, prioritize, and manage multiple tasks while meeting deadlines in a fast-paced environment.

Ability to coordinate multiple schedules and effectively respond to changing priorities.

Ability to exercise sound judgment and problem-solving skills in resolving scheduling and patient-related issues.

Ability to maintain confidentiality and handle sensitive patient information in accordance with HIPAA requirements.

Ability to provide exceptional customer service and establish positive working relationships with patients, physicians, healthcare staff, and visitors.

Proficiency in computer applications and office technology, including Microsoft Outlook, Word, Excel, and electronic health record (EHR) systems.

Ability to accurately enter, review, and maintain data and records.

Ability to read, understand, and follow written and verbal instructions, policies, procedures, and safety guidelines.

Strong organizational, time management, and attention-to-detail skills.

Basic knowledge of healthcare services, procedures, and equipment related to a surgical specialty practice.

Bilingual English/Spanish skills preferred.
