JOB TITLE: LEAD SCHEDULER
LOCATION: Lipson Cancer Institute - Rochester General Hospital- 1425 Portland Avenue 1st Floor
Rochester, NY 14621
HOURS PER WEEK: 40, Fulltime
DEPARTMENT: Breast Center
SCHEDULE: M-F 8am-430pm
SUMMARY:
To coordinate pre-admission testing schedules, OR times, and schedule changes with planned requests for perioperative services. Staff is primarily assigned to inpatient or ambulatory coordination of scheduling for the operating room, ASC, GI/Endoscopy, and Pre-admission testing. Leads a team of schedulers, providing guidance as needed.
RESPONSIBILITIES:
•Leads a team of staff doing the same work.
•Assigns daily tasks to other members of the team, providing oversight and support as necessary.
•Performs most complex tasks or procedures.
•Mentors and trains new employees to help them reach the standards of the department.
•Provides input regarding team members’ performances, recommending disciplinary action when required.
•Serves as a resource to staff and collaborating departments in resolving complex issues and by providing technical skills.
•Coordinates the daily surgical schedule with the Chief of Anesthesiology ensuring accuracy and making changes as necessary.
•Coordinates the daily History and Physical (H&P) schedule with the Lead Nurse Practitioner ensuring accuracy and making changes as necessary.
•Periodically reviews pre-admission data with Lead Nurse Practitioner and appropriate perioperative leadership to enhance utilization of H&P resources.
•Serves as the expert related to the scheduling information system, including acting as liaison with vendor, providing reports from system, and leading efforts with changes/upgrades to system.
•Serves as liaison to administrative clinical leaders in perioperative services patient needs, schedule changes, and special requests.
•Recognizes and communicates any problems or issues and recommends potential solutions related to scheduling practices which may affect hospital or department operations to the supervisor or director.
•Responsible for maintenance of block schedule including communication with physician offices on changes/adjustments.
•Coordinates periodic (2-3 times annually) meetings with physician office staff to gather customer feedback and make necessary improvements.
•Coordinates tasks performed by staff.
•Prioritize and distributes tasks associated with the scheduling process to staff and monitors adherence to established time deadlines and procedures.
•Advises supervisor and collaborates on solutions to observed delays or failure to follow procedures on the part of staff.
•Assists in orientation of new staff by describing own role as necessary.
CT Surgery Only:
- Perform secretarial duties in support of general medical office duties
- Register patients in computer including check-in and out
- Prepares patient chart for office visits including retrieving info from PCP or referring docs
- Arrange tests/referral as ordered by provider
- Obtain referrals/updates from Insurance including Insurance verification
- Collect appropriate fees from patient and completes cash reconciliation daily
PREFERRED QUALIFICATIONS:
•Bachelor’s degree in business, social sciences, human resources, or equivalent. An equivalent combination of education and experience will be considered.
•6 years of relevant healthcare experience
REQUIRED QUALIFICATIONS:
•Experience in OR administrative environment
•Demonstrated skills in dealing with physicians, ancillary staff and patients
•Demonstrated ability to lead a team
•Strong analytical, computer, and communication skills
PHYSICAL REQUIREMENTS: S - Sedentary Work - Exerting up to 10 pounds of force occasionally Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.
PAY RANGE: $18.00 - $23.00
The listed base pay range is a good faith representation of current potential base pay for successful applicants. It may be modified in the future. Pay is determined by factors including experience, clinical licensure date, relevant qualifications, specialty, internal equity, location, and contracts.
