ABOUT iQ ACADEMY, LOS ANGELES AND THE MS/HS PROGRAMS & SCHEDULING ADMINISTRATIVE ASSISTANT POSITION:
iQ Academy, Los Angeles delivers online/virtual home based instruction to K-12 students in California. While our schools do offer some scheduling flexibility, students are still required to complete approximately 4-6 hours of coursework daily and log attendance. K12, inc. is our curriculum provider. Virtual schools are new models in public education. They look both backward to what we know works well in educating children, and forward to see how technology can help us implement these strategies with children. Virtual school teachers are part of a pioneering effort. Our teachers and staff, therefore, need to share the school’s pioneering mission and approach.
The MS/HS Student Programs & Scheduling Administrative Assistant provides supplemental support to Middle and High School students, families, teachers, and administrators by coordinating student programs, supporting student engagement opportunities, assisting with student transitions, and providing scheduling support to ensure students have access to appropriate learning experiences.
This position collaborates with teachers, counselors, administrators, and school teams to enhance student participation, improve access to academic and enrichment opportunities, and support the successful implementation of school programs. The role provides supplemental coordination and operational support that complements existing instructional, counseling, and administrative services.
The MS/HS Student Programs & Scheduling Administrative Assistant supports student engagement initiatives, school communication efforts, student recognition activities, outing coordination, student onboarding support, and scheduling continuity. This position helps strengthen student connection, participation, and access to school programs within a virtual learning environment.
California County of Residence (this position is open to the following 6 counties ONLY: Kern, Los Angeles, Orange, Riverside, San Bernardino, and Ventura.)
HOURS AND SALARY INFORMATION:
Full time Monday-Friday from 8:00am-3:30pm.

Salary: $68,936 - $70,936

Position Summary
The MS/HS Student Programs & Scheduling Administrative Assistant provides supplemental support to Middle and High School students, families, teachers, and administrators by coordinating student programs, supporting student engagement opportunities, assisting with student transitions, and providing scheduling support to ensure students have access to appropriate learning experiences.
This position collaborates with teachers, counselors, administrators, and school teams to enhance student participation, improve access to academic and enrichment opportunities, and support the successful implementation of school programs. The role provides supplemental coordination and operational support that complements existing instructional, counseling, and administrative services.

Essential Duties and Responsibilities
Student Programs & Engagement Support
● Provide supplemental coordination support for Middle and High School student programs, enrichment opportunities, and engagement activities.
● Support the coordination, communication, and implementation of student outings, activities, and experiential learning opportunities.
● Maintain tracking systems related to student participation, engagement activities, and program completion.
● Assist with collecting and organizing student participation data to support program effectiveness and reporting.
● Collaborate with teachers and school teams to support student participation in academic and enrichment opportunities
● Support student recognition initiatives, including preparation and distribution of awards, certificates, prizes, and achievement materials.
● Assist with the coordination of student events, celebrations, and engagement activities.
Student Transition & Family Support
● Provide supplemental onboarding support for late-start students to reinforce teacher-led onboarding and promote successful student transition into the program.
● Assist students and families with navigating school resources, processes, and available support opportunities.
● Provide supplemental communication support regarding student programs, activities, and important school information.
● Provide timely and professional responses to student, family, and staff inquiries.
Student Programs, Outings & Events
● Provide supplemental support for school outings, enrichment activities, and student events.
● Communicate program information, timelines, and participation requirements to families and staff.
● Maintain participation tracking and attendance records for student activities.
● Support the collection, organization, and reporting of outing participation data.
● Update student registration surveys and communication materials for program opportunities.
● Follow up with staff regarding participation requirements and documentation.
● Assist with event logistics and coordination.
Scheduling & Operational Support
● Provide scheduling support to ensure continuity of student schedules during planned and unplanned absences of the School Scheduler.
● Assist with scheduling-related projects, student placement processes, and operational initiatives.
● Provide supplemental substitute coordination support, including assisting with coverage processes and communication.
● Maintain substitute-related resources and documentation to support school continuity.
● Support operational projects and initiatives assigned by the Director of Middle & High School.
School Communication & Compliance Support
● Provide supplemental support for Middle and High School communications through ParentSquare and other communication platforms.
● Assist with preparing and distributing school announcements and student/family communications.
● Support communication regarding holidays, emergency drills, school closures, and other important school events.
● Assist with virtual safety drill coordination and communication support.
● Support documentation and record-keeping related to school programs, activities, and compliance requirements.
● Assist with preparing and distributing student materials, awards, certificates, prizes, and recognition items.
Other Duties
● Support special projects and initiatives assigned by the Director of Middle & High School.
● Attend required meetings, training, and professional development.
● Collaborate with administrators, teachers, counselors, and support staff to improve student engagement and access to programs.
● Perform other related duties as assigned to support student success and school operations.
Education/Experience
● Associate’s Degree required.
● Bachelor’s Degree preferred.
● Minimum of three (3) years of experience supporting students, families, programs, or school operations.
● Experience working in an educational environment is preferred.
● Experience coordinating multiple projects, programs, and priorities simultaneously.
● Experience working collaboratively with teachers, counselors, administrators, families, and students.
Certificates and Licenses
● Associate’s Degree required.
● Bachelor’s Degree preferred.

Work Environment
This position is a fully remote position supporting a statewide virtual public charter school. The employee works from a professional home office environment and must maintain a professional virtual work setting.
Occasional travel may be required for school meetings, trainings, student events, and other school-related activities.

The employee is regularly required to sit for extended periods while working at a computer. Occasionally, the employee may be required to stand, walk, reach, lift, or move items weighing up to 15 pounds. Frequent use of hands for keyboarding and operation of office equipment is required.
Restrictions on Time Off
Restrictions on time off may apply during critical operational periods including student onboarding, beginning and end of semesters, scheduling periods, state testing windows, and other key school events as determined by the Director.
