Job Description

Position Summary:

Responsible for supporting CountryMark's enterprise information management and Workplace Excellence programs through the governance, accessibility, retention, and lifecycle management of enterprise information, documents, business processes, and supporting systems. Serves as a Subject Matter Expert (SME) for document and records management, D365 Asset Management, SharePoint Online, Workplace Excellence processes, and process auditing activities. Partners with business stakeholders to improve information findability, process effectiveness, compliance, user adoption, and continuous improvement initiatives.

Primary Duties and Responsibilities (not limited to the following):

Document Control Responsibilities

  • Partner with business units to standardize, govern, and maintain enterprise documentation throughout its lifecycle, leveraging approved repositories, metadata, taxonomy, and information architecture standards to ensure compliance, accessibility, discoverability, retention, and AI-enabled knowledge retrieval.
  • Support administration, enhancement, governance, and continuous improvement of enterprise document management platforms.
  • Develop and maintain document control standards, metadata structures, information architecture, and records retention requirements.
  • Ensure technical, operational, regulatory, and process documentation remains accurate and current.
  • Develop training materials and provide user support to promote organizational self-sufficiency.

ERP Responsibilities

  • Partner with business units to maintain the CountryMark EAM asset hierarchy and ensure the accuracy of associated master data.
  • Serve as the D365 Asset Management and associated ISV subject matter expert, providing leadership for system configuration, testing, upgrades, troubleshooting, and user adoption.
  • Collaborate with business stakeholders to identify and implement process improvements within D365 Asset Management.
  • Support training, documentation, and governance activities related to enterprise asset information.

Management Systems & Process Governance Responsibilities

  • Serve as administrator and coordinator of the Workplace Excellence program, including process inventory, documentation, standards, and governance activities.
  • Partner with process owners to develop, maintain, and continuously improve enterprise processes and supporting documentation.
  • Coordinate process reviews, compliance assessments, corrective actions, and Management of Change activities.
  • Plan and execute Workplace Excellence audits, communicate findings, and support continuous improvement initiatives.
  • Maintain audit methodologies, scoring criteria, metrics, and related program documentation.

Analytics/Reporting Responsibilities

  • Support reporting, data validation, and business requirements activities associated with systems and processes supported by the Enterprise Information team.


Job Qualifications (refers to job, not incumbent):

Education: Minimum: A minimum of a Bachelor’s Degree or an equivalent combination of experience in a technical related field is required.

Experience: Preferred: 5-10 years experience in information management, document control, records management, quality systems, process management, auditing, business systems support, or related disciplines.

Licenses, Certifications or Registrations: Employee must have valid driver’s license if operating a company vehicle or their own vehicle for work purposes.

Other:

  • Knowledge of AI tools/AI principles, or the ability and willingness to learn.
  • Working familiarity and compliance with CountryMark Workplace Excellence Processes.
  • Awareness and understanding of industrial hazards and be able to situationally assess work environment to ensure safety of self.
  • Must effectively handle multiple projects simultaneously in a deadline driven environment.
  • Ability to work independently and as part of a team and take on new tasks with high level of difficulty.
  • Ability to take direction/lead and function as a team member to accomplish organizational goals.
  • Requires good oral and written communication skills. Communicate with co-workers, management, customers, and others in a courteous and professional manner.
  • Ability to multi-task and prioritize multiple assignments to ensure completion of tasks within stated time requirements.
  • Ability to excel in a fast-paced and diverse team environment with minimal supervision.
  • Proficient in the use of Microsoft Office applications (SharePoint, Power Apps, Power BI, Excel, Word, Outlook), ERP/EAM/CMMS platforms, and Adobe.
  • Knowledge of the standard processes involved with Process Change Management is desired.
  • Knowledge of the standard processes involved with Information Technology Change Management is desired.
  • Understanding of information governance, records management, and document lifecycle management principles.
  • Knowledge of metadata, document taxonomy, and information architecture concepts.
  • Experience defining, documenting, and implementing business requirements, policies, procedures and processes.
  • Ability to provide efficient and effective customer service to individuals at all levels in the organization.
  • Familiarity with redlining and editing techniques.
  • Familiarity of Engineering drawings (.dwg, P&ID and ISO) experience is desired.
  • Attention to detail essential.
  • Good organizational skills.
  • Occasional travel will be expected to Corporate Office, Refinery location, and satellite locations.

  • Working Conditions (relates to physical environment):

    Typically, may sit comfortably in a standard indoor office environment. Occasionally, the work will be performed in an Industrial and chemical environment.

    Physical Demands:

    Must be able to stoop and bend on a frequent basis. Occasionally may be required to perform moderate lifting of up to 25-50 lbs. Good hearing, vision, and depth perception are required. Must be able to enter processing areas, climb ladders and scaffolding as needed to conduct work.
