Job Description

The Administrative Assistant provides comprehensive administrative and operational support to the Sydney Lewis School of Business, assisting faculty, staff, students, and leadership with day-to-day academic and business operations. This position serves as a professional point of contact, coordinates schedules and communications, maintains accurate records, supports meetings and events, and helps ensure the efficient delivery of school-wide services.

Responsibilities

  • Provide administrative support to the Dean, faculty, staff, and School of Business programs, ensuring daily operations are organized and responsive.
  • Coordinate calendars, meetings, appointments, workshops, orientations, faculty activities, and special events.
  • Prepare correspondence, reports, presentations, agendas, meeting materials, spreadsheets, forms, and other administrative documents.
  • Serve as a professional point of contact for students, faculty, staff, university departments, vendors, and external stakeholders.
  • Respond to inquiries, provide information regarding policies and procedures, and direct questions to the appropriate department or university resource.
  • Maintain accurate electronic and paper records, files, databases, and confidential documents in accordance with university policies.
  • Assist with faculty and staff onboarding, personnel documentation, office access, technology requests, and administrative processes.
  • Support course scheduling, classroom coordination, faculty assignments, student communications, and academic program activities.
  • Process and track administrative forms, purchase requests, personnel actions, contracts, invoices, and other School of Business documentation.
  • Assist with budget tracking, purchasing, expense documentation, reconciliation, and financial reporting as assigned.
  • Develop and distribute professional communications, announcements, newsletters, and informational materials using Microsoft Office and other university technology platforms.
  • Coordinate logistics for conferences, workshops, faculty meetings, student events, recruitment activities, and community engagement initiatives.
  • Maintain confidentiality when handling student, faculty, staff, financial, and personnel information.
  • Use university systems and databases to enter, retrieve, verify, and maintain accurate information and generate reports.
  • Collaborate with university departments including Human Resources, Academic Affairs, Finance, Registrar, Information Technology, Admissions, and Student Affairs.
  • Identify administrative issues and recommend improvements that increase efficiency, organization, communication, and service delivery.
  • Perform other administrative duties and special projects as assigned by School of Business leadership.

Education

  • High school diploma or GED required.
  • Associate degree in Business Administration, Office Administration, Human Resources, Management, or a related field preferred.
  • Knowledge of university administrative processes, office procedures, and academic operations.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Teams.
  • Strong organizational, time-management, and prioritization skills.
  • Must be able to lift up to 10 pounds.
