Executive Assistant

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Assistant based in India.

As an Executive Assistant, you will provide high-level support to C-Suite executives, CXOs, Managing Directors, and senior leadership in a fast-paced multinational environment. You will act as a trusted strategic partner, anticipating priorities and proactively helping leaders stay focused on business-critical activities. The role combines complex calendar and communication management with executive event coordination, stakeholder engagement, and operational support. You will work across multiple time zones and collaborate with global teams, clients, and cross-functional departments. Your ability to manage sensitive information, competing priorities, and high-volume workflows will be essential to keeping executive operations running smoothly. Accountabilities:
  • Provide proactive executive support to C-Suite executives, CXOs, Managing Directors, and senior leadership.
  • Manage complex, high-volume calendars across multiple time zones, prioritizing leadership, board, client, and stakeholder meetings.
  • Manage executive inboxes and confidential correspondence while ensuring timely and professional communication.
  • Draft, review, and coordinate sensitive communications on behalf of senior leaders.
  • Organize and coordinate leadership offsites, town halls, board meetings, conferences, webinars, podcasts, training sessions, and global visits.
  • Coordinate venues, catering, technology requirements, travel and logistics, guest management, and other event-related arrangements.
  • Serve as a key liaison between senior leadership, global teams, clients, and cross-functional departments.
  • Track deliverables, follow up on actions, and help ensure timely execution across teams.
  • Support virtual and remote working environments and help promote effective use of digital collaboration tools.
  • Encourage good cybersecurity and digital workplace practices when managing executive information and communications.
  • Support sector strategy, cross-market initiatives, and global leadership activities as required.
  • Anticipate executive requirements, proactively resolve issues, and help ensure smooth day-to-day operations.
Requirements
  • 7–8+ years of experience supporting C-Suite executives, CXOs, Managing Directors, or other senior leadership.
  • Experience working in multinational, corporate, consulting, professional services, or large enterprise environments.
  • MBA in HR & Marketing or an equivalent postgraduate qualification.
  • Excellent organizational, calendar management, time-management, and multitasking skills.
  • Strong written, verbal, stakeholder management, and client relationship skills.
  • High level of professional maturity, discretion, confidentiality, and integrity when handling sensitive information.
  • Strong strategic thinking, problem-solving, prioritization, and proactive execution abilities.
  • Ability to work independently, manage competing priorities, and perform effectively under pressure.
  • Strong global coordination capabilities and cultural awareness when working with international stakeholders.
  • Ability to anticipate requirements and operate as a strategic enabler for senior leadership.
  • Proficiency with or familiarity with MS Office Suite and executive productivity and collaboration platforms.
  • Experience with tools such as Slack, Microsoft Teams, Zoom, Webex, Trello, SharePoint, and Concur is advantageous.
  • Familiarity with digital workplace and remote-working tools and cybersecurity best practices is a plus.
  • Experience coordinating global teams, international stakeholders, multiple time zones, board meetings, executive offsites, client engagements, or leadership events is advantageous.
