Position Summary

The Registration Referral Specialist is responsible for delivering exceptional patient-access services by combining front-office registration responsibilities with comprehensive referral coordination.

This position ensures accurate patient registration, insurance verification, appointment scheduling, referral processing, authorization management, and timely follow-up. The Registration Referral Specialist collaborates with providers, specialists, patients, and internal care teams to support seamless, efficient, and patient-centered care.

Essential Responsibilities
  • Welcome, register, check in, and check out patients while providing exceptional customer service.

  • Verify patient demographic information, insurance eligibility, and required documentation.

  • Collect copayments and clearly explain applicable financial policies.

  • Schedule, reschedule, confirm, and coordinate patient appointments.

  • Answer incoming telephone calls and respond to patient questions and concerns promptly and professionally.

  • Process routine, urgent, and ASAP referrals within established timelines.

  • Obtain required referral authorizations and coordinate appointments with specialty providers.

  • Monitor referral work queues and maintain accurate, timely referral documentation.

  • Communicate referral statuses and requirements to patients, providers, and specialists.

  • Collaborate with clinical and administrative staff to resolve referral, authorization, insurance, and scheduling barriers.

  • Maintain accurate patient and referral documentation within the Electronic Health Record (EHR).

  • Maintain current knowledge of managed care guidelines, payer requirements, and referral procedures.

  • Educate patients regarding referrals, specialty appointments, authorizations, and insurance requirements.

  • Follow up with patients and specialty providers to support continuity of care and referral completion.

  • Support quality-improvement initiatives and maintain compliance with HIPAA and organizational confidentiality requirements.

  • Provide cross-coverage for front-office registration and referral-coordination functions as needed.

  • Perform other duties as assigned.

Education and Experience
  • High school diploma or GED required.

  • Associate degree in a related field preferred.

  • Minimum of two years of experience in medical registration, front-office operations, patient access, referral coordination, or a related healthcare setting.

  • Experience with insurance eligibility verification, referral processing, prior authorizations, and appointment scheduling preferred.

  • Experience working with Electronic Health Record systems and Microsoft Office applications preferred.

Required Knowledge, Skills, and Abilities
  • Knowledge of patient registration, referral coordination, and insurance-verification processes.

  • General knowledge of managed care plans, payer guidelines, and authorization requirements.

  • Proficiency with Electronic Health Record systems.

  • Proficiency with Microsoft Office applications.

  • Working knowledge of medical terminology.

  • Strong customer-service and patient-engagement skills.

  • Strong written and verbal communication skills.

  • Excellent organizational, prioritization, and time-management abilities.

  • Ability to manage multiple responsibilities in a fast-paced healthcare environment.

  • Ability to identify and resolve patient-registration, referral, insurance, and scheduling concerns.

  • Ability to communicate professionally and effectively with patients, providers, specialists, insurance representatives, and internal team members.

  • Ability to maintain accurate documentation and protect confidential patient information.

  • Ability to work independently while collaborating effectively with clinical and administrative teams.

  • Flexibility to provide coverage across front-office and referral functions as operational needs require.

Please note that the employee’s initial training schedule may differ from the position’s regular schedule. All new hires, including part-time employees, must be available for up to 40 hours of in-person, on-site training during their first week. Additional mandatory training may continue for approximately two to three weeks, depending on the position and its training requirements. Training may take place at a TFHC location other than the employee’s assigned work location.
