This position plays a critical role in supporting daily operations by managing front desk activities, handling incoming calls, assisting with customer communications, preparing estimates and proposals, and providing administrative support across multiple departments. WHAT YOU’LL DO:
Be the First Impression of Our Company
- Welcome customers, visitors, vendors, and guests with professionalism and friendliness.
- Answer, screen, and direct incoming calls.
- Respond to customer inquiries and ensure timely follow-up.
- Maintain a professional and organized front office environment.
Provide Administrative Support
- Assist with preparing, formatting, and distributing customer estimates and proposals.
- Support sales and operations teams with administrative tasks.
- Maintain customer files, records, and documentation.
- Assist with data entry, filing, scanning, and document management.
- Receive and distribute incoming mail and deliveries.
Support Customer Communications
- Coordinate customer correspondence and follow-up communications.
- Maintain accurate customer information and records.
- Assist with tracking estimates and proposal documentation.
- Ensure customer inquiries are handled promptly and professionally.
Keep the Office Running Smoothly
- Support multiple departments with administrative projects as needed.
- Assist with scheduling and general office coordination.
- Help maintain organized records and office systems.
- Provide additional administrative support as assigned.
WHAT WE ARE LOOKING FOR:
Required Qualifications
- High School Diploma or GED.
- 1-2 years of receptionist, administrative assistant, customer service, or office support experience preferred.
- Strong customer service and communication skills.
- Excellent organizational and time-management abilities.
- Professional demeanor and telephone etiquette.
- Strong attention to detail and ability to manage multiple priorities.
Preferred Skills
- Microsoft Outlook, Word, and Excel.
- Experience with ServiceTitan or similar customer management software.
- Experience in construction, home services, customer service, or office administration environments.
WORK HOURS & LOCATION REQUIREMENTS:
- This position requires full-time, on-site presence at our Lakewood, New Jersey offices (08701).
- The standard schedule is Monday – Friday.
