Outpatient Admission Coordinator
Compensation: Starting at $20.00 per hour
Schedule: Monday–Friday, 7:30 a.m.–4:00 p.m. or 8:30 a.m.–5:00 p.m. No weekends.
The Outpatient Admission Coordinator is the first point of contact for patients entering outpatient rehabilitation services. This role manages insurance verification and authorizations, patient scheduling, electronic medical-record setup, co-payment and fee collection, bill payment, and day-to-day coordination so that therapy, physician, and clinic visits run smoothly and patients can begin care without delay.
Essential Duties and Responsibilities- Verify insurance eligibility and benefits for all outpatient services.
- Obtain, track, and renew prior authorizations and continued-stay requests; communicate remaining visits and expiration dates to clinicians.
- Schedule patients for therapy treatments, physician appointments, and clinic visits; maintain an accurate weekly outpatient schedule.
- Create and maintain complete electronic medical records for new patients in the EHR, ensuring required demographic, insurance, referral, and clinical documentation is accurately entered and available prior to the first visit.
- Collect co-payments, deductibles, and other patient-responsibility fees at check-in; process bill payments and provide receipts.
- Notify therapists and physicians of patient arrival.
- Assist therapists with requests for additional coverage and follow up with payers as needed.
- Support daily operations of Outpatient Rehabilitation to ensure efficient patient flow and clear communication among staff.
- Provide secretarial support as needed, including word processing, filing, copying, faxing, answering phones, interoffice deliveries, and mailing of medical documentation.
- Schedule meetings for Outpatient Rehabilitation staff.
- High school diploma or equivalent.
- Demonstrated familiarity with insurance payer portals and the insurance authorization process.
- Strong insurance knowledge, including verification, visit limits, and continued-coverage requests.
- Excellent communication, customer-service, multi-tasking, and organizational skills.
- Advanced typing and computer skills; proficiency with scheduling and electronic health-record systems.
- Knowledge of growth and development across the life span and the impact of disability on patients and families (adolescent through geriatric populations).
