- Manage and optimize the executive's calendar, coordinating meetings across multiple stakeholders and time zones while protecting strategic priorities and focus time.
- Prepare agendas, briefing materials, presentations, and supporting documentation to ensure executive readiness for meetings and key initiatives.
- Utilize AI-powered meeting tools to capture discussions, generate summaries, track action items, and maintain accurate records of executive commitments.
- Oversee executive communications by managing inboxes, prioritizing correspondence, drafting responses, and ensuring timely follow-up on critical matters.
- Coordinate multiple operational and strategic projects simultaneously, maintaining trackers, timelines, and status reports to ensure successful execution.
- Drive accountability across teams by monitoring deliverables, following up on commitments, and proactively identifying risks or blockers.
- Collaborate with vendors, consultants, contractors, and cross-functional stakeholders to ensure alignment and smooth project progression.
- Organize domestic travel arrangements, itineraries, and related logistics while managing expense reporting and documentation.
- Support weekly planning sessions, operational reviews, and administrative processes to improve executive efficiency and organizational effectiveness.
- Continuously identify opportunities to streamline workflows, implement process improvements, and enhance productivity across executive operations.
- Minimum of 5 years of experience supporting senior executives, founders, or leadership teams in fast-paced and high-growth environments.
- Previous experience as an Executive Assistant, Virtual Executive Assistant, Executive Business Partner, Executive Operations Coordinator, or similar role.
- Strong experience managing complex calendars, shifting priorities, and multiple high-priority initiatives simultaneously.
- Demonstrated project coordination skills with the ability to oversee concurrent operational workstreams and ensure timely execution.
- Excellent organizational, planning, and time management abilities with exceptional attention to detail.
- Outstanding written and verbal communication skills in English, with the ability to interact professionally with senior stakeholders and external partners.
- Strong judgment, discretion, and ability to handle confidential information with professionalism and integrity.
- Advanced proficiency with Google Workspace tools, including Gmail, Calendar, Docs, and Sheets.
- Experience using AI-powered productivity tools and meeting assistants such as Fireflies or similar platforms.
- Familiarity with project management and collaboration tools such as Asana, ClickUp, Notion, Monday.com, Jira, or equivalent platforms.
- Ability to work independently in a fully remote environment while maintaining strong communication and accountability.
- Preferred experience supporting executives in construction, real estate, facilities management, property management, engineering, architecture, or other project-driven operational industries.
- Experience working with vendors, contractors, consultants, and external stakeholders is highly desirable.
- Availability to work with meaningful overlap during U.S. business hours.
