Job Description

Customers served (external and internal): all participants, any member of the LifeROOTS Team, board members, all vendors, suppliers and any other members of the public.

Role Summary:

Administrative support to the President and CEO. Maintains a close and highly responsive relationship with the day to day activities of the President and CEO.

Principal Accountabilities: (essential job functions):

  1. Maintain President and CEO calendar – Triage, prioritize, set and track internal and external appointments.
  2. Develop and edit correspondence for the President and CEO, as necessary.
  3. Make travel arrangements for the President and CEO and other members of the Senior Management Team, as necessary.
  4. Coordinate Board of Director and Board Committee meeting arrangements –developing a meeting calendar and advising Board members of the dates and times of all Board and Board Committee meetings, i.e., scheduling, sending out meeting reminders, preparing agendas or other related documents, and arranging for meals served at the meetings.
  5. Minute taking at all Board of Director and Board Committee meetings.
  6. Typing of all Board of Director and Board Committee meetings.
  7. File and maintain all Board and Board Committee meeting minutes and records.
  8. Sends and provides support on new Board application packets.
  9. Supports the CEO and all Executives on data, writing or correspondence projects.
  10. Maintains donor bank including writing and sending all Thank you’s to donors.
  11. Supports marketing efforts as indicated by CEO
  12. Must maintain confidentiality at all times.
  13. Complies with all applicable LifeROOTS policies and procedures.
  14. Relies on instructions and pre-established guidelines to perform the functions of the job. Primary job functions do not typically require exercising independent judgment.
  15. Responsible for participation in the company’s quality improvement program and ensures that all department-applicable quality improvement requirements are fulfilled.
  16. Responsible for participation in the company’s financial management and ensures that all department-applicable fiscal responsibilities are fulfilled.
  17. Responsible for participation in the company’s Health and Safety program and ensure that all department-applicable safety requirements are fulfilled.
  18. Perform other duties as assigned by the President and CEO.

Essential Skills and Experience:

  1. High School graduate or GED. College degree preferred.
  2. Advanced computer skills in Microsoft Office programs and donor relations database programs.
  3. Must possess the ability to manage multiple tasks; interact effectively with staff, participants and the general public.
  4. Deploy system processes effectively; and work with minimal supervision.
  5. Ability to represent LifeROOTS in a positive manner to all stakeholders. Ability to maintain high level of confidentiality.
  6. Fundamental understanding of LifeROOTS, Inc. policies.

Conditions of Employment:

  1. Fingerprints, background check, and drug screen.
  2. Must have a valid and current driver's license with good driving record and must have current auto insurance as required by applicable state law.
  3. Routinely operates a company vehicle or a personal vehicle while on company business.
  4. Must be at least 18 years of age.

Physical Challenges:

  1. Regular and consistent use of keyboard and mouse.
  2. Physically able to perform the essential functions without hazard to themselves or others.
  3. The work is sedentary; however there may be long periods of sitting at a computer; some walking, standing, bending and carrying of light items is required.
  4. Additional challenges may arise, at which time LifeROOTS, Inc. may revise this job description.
