Job Description
The Leasing Manager owns the full lease renewal lifecycle across the manufactured housing portfolio, including rent increase execution, renewal compliance, resident retention strategy, lease administration, and non-renewal coordination.
This role serves as the central point of accountability for ensuring renewals are executed accurately, consistently, and in compliance with state-specific landlord-tenant laws. The Leasing Manager works closely with Community Managers, Regional Vice Presidents, and Home Office leadership to balance revenue growth, occupancy protection, resident experience, and operational consistency across the portfolio.
Success in this role requires strong operational discipline, attention to detail, sound judgment, and the ability to manage high-volume workflows across multiple communities and states.
Essential Duties and Responsibilities
Rent Increase Strategy & Execution- Own the annual rent increase process from planning through implementation.
- Build and manage the renewal and rate-increase calendar across the portfolio.
- Coordinate timing of increases to align with lease expirations, occupancy goals, and NOI targets.
- Program and validate approved increases within property management systems.
- Ensure renewal and increase notices are delivered accurately and within required legal timelines.
- Monitor retention, delinquency, and post-increase performance metrics to improve future pricing strategy.
- Manage the full renewal notice process across all operating states.
- Ensure all notices meet state-specific requirements for timing, content, delivery, and documentation.
- Maintain compliance tracking for notice periods, delivery requirements, increase limitations, and required disclosures.
- Coordinate preparation, execution, and filing of lease renewal documentation.
- Maintain accurate lease expiration dates, renewal triggers, and resident records within property management systems.
- Conduct periodic audits to ensure renewal accuracy, data integrity, and regulatory compliance.
- Partner with Community Managers and Regional Vice Presidents to evaluate renewal and non-renewal decisions.
- Help identify operational or resident experience issues impacting retention.
- Analyze turnover trends, renewal declines, and retention performance to recommend improvements.
- Coordinate non-renewal workflows, documentation, and communication processes.
- Track move-outs, home disposition status, and turnover readiness.
- Support retention initiatives and renewal strategies that improve occupancy and resident stability.
- Maintain reporting related to renewals, rent increases, occupancy, pricing, collections, and retention performance.
- Provide leadership with regular reporting on renewal acceptance rates, non-renewals, compliance status, and portfolio trends.
- Conduct regular communication with Community Managers and Regional Vice Presidents regarding upcoming renewals, notice timelines, and operational issues.
- Identify opportunities to improve efficiency, automate workflows, and standardize renewal processes across the portfolio.
- Stay current on landlord-tenant regulations and manufactured housing compliance requirements across all operating states.
- Partner with onsite and corporate leadership to align renewal execution with portfolio performance goals.
- Support operational decision-making through renewal performance insights and resident trends.
- Ensure consistent communication and execution standards across all communities.
- 3+ years in multifamily, manufactured housing, or residential property management, with direct ownership of renewals, rent increases, or lease administration
- Strong knowledge of multi-state landlord-tenant law, including state-specific notice periods, delivery requirements, rent increase limitations, and non-renewal procedures
- Deep understanding of manufactured housing lease structures, lot rent dynamics, and the distinction between resident-owned and community-owned home tenancies
- Proficiency with property management systems (ManageAmerica preferred) and the ability to program, validate, and audit renewal and rate-increase data
- Excellent organizational skills with the ability to manage high-volume, deadline-driven workflows across a distributed portfolio
- Strong analytical skills, including the ability to evaluate renewal performance data, identify trends, and translate findings into actionable recommendations
- Clear, professional communication skills with the ability to collaborate effectively with Community Managers, RVPs, legal resources, and corporate leadership
- Highly detail-oriented, compliance-minded, and process-driven, with a strong sense of urgency around deadlines
- Ownership mindset with a focus on NOI performance, occupancy protection, and measurable financial outcomes
- Comfortable navigating ambiguity and making sound judgment calls on non-renewal decisions and resident edge cases
- Self-directed and organized, capable of managing complex calendars and competing priorities across multiple communities and states
