Production Operations Admin
10:30a-7:00p Monday-Friday
The Production Operations Administrator is responsible for overseeing and optimizing workflow within the department. This role involves managing incoming work, overseeing the production inbox, organizing tasks, and ensuring the timely and accurate completion of jobs. The role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Duties/Responsibilities
- Organize incoming work and re-prioritize as needed for department team members, ensuring that tasks are completed within Service Level Agreement (SLA) timelines.
- Develop, maintain, and update Standard Operating Procedures (SOPs) to improve workflows within the department.
- Serve as the point of contact between SFX and MPX for all department-related work.
- Ensure necessary equipment is adjusted to specifications and submit and update IT support tickets and machine maintenance tickets as required.
- Sign off on department audit sheets before and after completion.
- Maintain records and safely shred potentially sensitive mail as required by company policy.
- Assist with various administrative duties as required, helping other departments when needed.
- Assist in training new hires in department processes and company procedures.
- Help with department tasks, unloading mail pallets, sorting mail, and other physical tasks on the production floor.
- Prepare mail for daily pickups, request courier services for specific pickups and deliveries as needed.
- Oversee the dropouts/reprints process and ensure proper handling.
- Ensure check deposits are addressed promptly.
- Confident in using technology, especially Microsoft Outlook, Word, and Excel.
- Highly organized with exceptional attention to detail, able to manage a large workload in a fast-paced environment.
- Ability to work well with others in a team environment.
- Effective communication with co-workers and supervisors, both visually, orally, and in writing.
- Strong time management skills to prioritize tasks and meet deadlines.
- Ability to perform job functions safely and responsibly.
- Basic understanding of math, including fractions and percentages.
- A self-starter with a continuous drive for improvement; eager to learn and grow in the role.
- Familiarity with color printing, mail inserting, and/or scanning equipment.
Education and Experience
- High school diploma
- At least two years related experience required
Physical Requirements
- Frequently lift 10-20 lbs., and occasionally up to 50 lbs.
- Ability to stand for 10-12 hours per day.
- Ability to bend, push, and pull carts; assist with unloading pallets and sorting mail.
