Job Description
The Project Administrator role reports to the Director of Administration and is responsible for supporting administrative operations on multiple projects. This is a full-time in-office position based out of our Lynchburg, VA office. This role is ideal for a highly organized professional who enjoys supporting construction teams, managing project documentation, and helping projects move efficiently from startup through closeout.
- Responsible for supporting Superintendents, Project Managers, and Project Executives to ensure the timely and accurate completion of administrative tasks.

- Track and organize project documentation, including submittals and RFIs.
- Update project management software daily for all assigned projects.
- Ensure the project team has the most up-to-date documentation.
- Assist in obtaining permits
- Manage information from subcontractors and suppliers.
- Maintain submittal logs for projects.
- Prepare and submit project close-out documentation, As-built drawings and extra materials, for Owners and Architects.
- Issue and maintain subcontracts, purchase orders, and change orders for projects after approval.
- Perform other activities, duties, and responsibilities as assigned.

- Demonstrate strong written and verbal communication skills.
- Consistently maintains high standards of accuracy, attention to detail, and organizes information and tasks efficiently.
- Excellent judgment in solving problems and escalating issues as needed.
- Work effectively with some direction and oversight, as well as collaboratively within a team.
Experience, Education, & Certifications
- High School Diploma or GED; a Bachelor’s Degree is preferred.
- 1 - 3 years of relevant administrative assistant experience.
- Construction, engineering, or architecture industry experience preferred.
- Demonstrate strong skills in data entry, Microsoft Office suite, collaborative meeting platforms, and general office equipment; ProjectSight experience desired.
