Summary/Objective: The Intern and Volunteer Manager is a dynamic position that encompasses personnel management, process evaluation, implementation, and coordination. The Intern and Volunteer Manager oversees daily recruitment and management of both college student interns and professional volunteers. The level of involvement in any project may vary, but the Intern and Volunteer Manager is knowledgeable of company policies, operations, HR policies, and time and attendance processes. The role requires good communication skills, the ability to coordinate with leadership team members on staffing needs, and the evaluation of student interns and their work performance. This position reports to the Director of Administration, or designee.
Essential Functions & Responsibilities:
Recruitment and Training
- Host and attend recruiting events within the community to attract qualified candidates.
- Work with Leadership team to publicize opportunities for interns and volunteers via print, digital, and social media platforms.
- Develop and maintain relationships with STEM NOLA partner companies/organizations and colleges/universities.
Logistics and Event Volunteer Coordination
- Act as a single point of contact for Leadership team regarding intern and volunteer management.
- Communicate with team to assess needs for intern and volunteer assistance.
- Ensure interns and volunteers are staffed to support various areas of operations, facilitation, exhibits, events, etc.
- Coordinates ongoing intern and volunteer utilization.
- Schedule interns and volunteers and ensure their timely appearance and execution of programming.
- Follow-up with interns and volunteers after a programming event.
Intern and Volunteer Management
- Maintain intern and volunteer database of both college students and professional volunteers.
- Maintain accurate records and timely reports on intern and volunteer participation.
- Develops and implements a staff recognition program.
- Conduct ongoing evaluation of the intern and volunteer program.
- Utilize a form of communication (digital or app) to keep interns and volunteers engaged and interested in STEM NOLA
Education, Experience & Qualifications
- Bachelor’s degree required; equivalent combination of education, training, and relevant experience may be considered.
- Minimum of 3 years of experience in volunteer coordination, internship program management, community engagement, student services, nonprofit operations, workforce development, or a related field strongly preferred.
- Prior experience recruiting, onboarding, scheduling, training, and supporting interns, volunteers, students, or community-based program participants preferred.
- Nonprofit, education, youth development, STEM programming, or community-based organization experience strongly preferred.
- Demonstrated ability to build and maintain strong relationships with colleges, universities, community partners, volunteers, interns, staff, and organizational leadership.
- Strong interpersonal and communication skills, including the ability to engage diverse audiences and present information clearly to small and large groups.
- Highly organized and detail-oriented, with the ability to manage schedules, databases, participation records, follow-up communications, and reporting needs accurately and timely.
- Ability to assess staffing needs, coordinate volunteer and intern assignments, and support event/program operations in a fast-paced, community-centered environment.
- Demonstrated ability to use data, feedback, and participation trends to evaluate program effectiveness and recommend process improvements.
- Proficiency with Microsoft Office, Google Workspace, and digital communication or scheduling tools required.
- Ability to exercise professionalism, sound judgment, confidentiality, accountability, and a service-oriented approach when working with interns, volunteers, staff, and external partners.
- Flexible schedule required, including availability for evenings, weekends, and community events as needed.
- Ability to travel locally as needed for recruiting, partnership development, programming, and events.
- Commitment to advancing STEM education, youth empowerment, community engagement, and equitable access to opportunity.
Work Environment & Demands:
- Full-time position requiring a minimum of 40 hours per week, with flexibility to work evenings, weekends, and occasional holiday periods based on programming, volunteer needs, and community events.
- Requires regular availability for STEM NOLA programming, including Saturday events, STEM Saturdays, community-based events, school-based programs, recruitment events, and volunteer/intern engagement activities.
- Work is performed in a combination of office, school, community, partner organization, and event-based environments.
- Valid driver’s license and reliable transportation required.
- Local travel is required for recruiting, community engagement, partnership development, programming, and events; travel may be required up to 25% of the time.
- Physical requirements include the ability to lift up to 25 pounds occasionally.
- May involve standing or walking for extended periods while some tasks may require bending, stooping, or reaching.
- Regular use of standard office equipment such as computers, phones, and various digital devices.
- Capacity to perform repetitive tasks; read, analyze, and interpret data; maintain visual attention and mental concentration for significant periods of time.
