Section II Summary of Job Function
Responsible for participating in the coordination of patient care throughout the transplant process, including the ongoing assessment, and evaluation of patients preparing for and undergoing bone marrow transplant (BMT) or Immune Effector Cell (IEC) therapy,
The coordinator will follow all transplant/IEC patients post-transplant for survival and related post-transplant toxicities & needs,
The coordinator will be responsible for screening and educating potential and actual donors,
Section III: Job Qualifications/Education/Training/Certification/Licensure
Education: Bachelor s Degree in Nursing or higher
Experience: Bone Marrow Transplant experience preferred
Certification: Successfully obtain Bone Marrow Transplant Certified Nurse (BMTCN ) Certification within 1 year of start date,
Maintains BMTCN Certification,

Potential exposure to hazardous material and communicable disease,
Special Physical Demands:
A physical condition is required, which allows for reaching, pushing, pulling, lifting, walking and standing for some of a shift,
Must be able to function under rapidly changing and stressful conditions,
Job Specific Requirements:
A wide variety of internal and external relationships are involved in performance of the BMT Coordinator s duties:
o Interacts daily with patients, families/caregivers, nurses, pharmacists, social workers, discharge planners and physicians (both within the RWJBarnabas Health system, faculty, fellows, hospitalist and referring physicians) to provide and facilitate care,
o Communicates and collaborates with community physicians, pharmacists, laboratory personnel, home health agencies, insurance company case managers and medical directors to ensure a successful continuum of care,
o Utilizes his/her knowledge of transplant/cellular therapy contract requirements, in conjunction with the Financial Coordinator and the appropriate RWJUH personnel, to help ensure contract compliance,
Coordinate and promote the clinical activities of autologous and allogeneic hematopoietic stem cell transplants and other IEC therapies,
Such activities may include, but are not limited to:
o Schedule patient appointments with referring physicians, obtaining necessary demographics, financial and medical information,
o Conduct pre-treatment interviews with prospective transplant/IEC therapy patients and families,
Obtains medical and social histories as necessary to impact the transplant/IEC therapy authorization process,
o Conduct donor searches and provides HLA search results to the medical transplant team to aide in donor selection,
o Schedule and coordinate pre-treatment testing of potential transplant/IEC therapy patients,
o Provide pre-treatment evaluation to transplant providers for transplant/IEC eligibility determination,
o Prepare pre-treatment evaluation results in a timely fashion and provides to Financial Coordinator for the authorization process,
Work closely with the Transplant Financial Coordinator and Social Worker to ensure insurance authorization is obtained for all transplant and IEC therapies,
o Educate patients, families/caregivers and donors regarding all aspects of transplantation/IEC therapy and serve as an advocate,
o Contribute to the collaborative development of the transplant admission schedule, and the outpatient clinic and treatment area appointments,
Work closely with the Stem Cell Collection Lab and the Cell Processing Lab to ensure safe scheduling of patients,
o Work closely with the outpatient and inpatient, medical, nursing, and support staff to arrange and communicate patient care,
o Recognize and assess patient problems and symptoms, offer nursing interventions and appropriate referrals to providers for menterventions,
o Assist and work closely with BMT Social Worker to facilitate the completion of and forwarding insurance and disability forms for BMT/IEC therapy patients,
Document care thoroughly in the medical record,
Provide patient status reports to community and referring physicians and third party payors,
Collaborate in the development and update of protocols and guidelines for the clinical program policy and procedures,
Participate in all transplant/IEC related meetings, including but not limited to:
o BMT Conference
o BMT CART Financial Follow-Up Meeting
o BMT Quality Meeting
Ensure all informed consents are logged into OnCore, in a timely fashion
Organize comprehensive searches for unrelated stem cell products utilizing the National Marrow Donor Program (NMDP) and other databases, as well as international cooperative registries,
Provide education to patients and families regarding the processes and procedures involved in the search for related and unrelated donors,
Provide updates to patients/families on donor search activities,
Maintain close collaboration with NMDP and other registries in order to expedite donor identification,
Discuss all HLA lab results with Provider to facilitate final donor review and selection,
Support the enrollment of transplant and IEC therapy patients in clinical trials by working collaboratively with the Research Coordinators,
Foster continued BMT/IEC therapy research by complying with requests for patient information that accommodate research trials, extended access protocols (EAP) and data analysts work,
Demonstrate consistent knowledge of and compliance with FACT, CIBMTR, NMDP, IRB and any other applicable regulatory standards,
Complete and maintain required training related to any requirements of participation specific to regulatory standards related to research and BMT/IEC therapy,
Complete paper or electronic data reporting forms for the CIMBMTR and the NMDP, in a timely manner,
Participate in teaching activities for intra-disciplinary team members, nurses, students and in the community for professional groups and referring practices,
Organize and participate in transplant/IEC education, including formal patient pre-transplant classes,
Assure appropriate orientation and training for new transplant coordinators,
Maintain up-to-date knowledge and adheres to policies and procedures set forth by Robert Wood Johnson University Hospital, Rutgers Cancer Institute of New Jersey, and all relevant regulatory agencies,
Maintain logs or data tracking as requested,
Assist with data collection of workflow for finance compliance and quality improvement as required and requested
Demonstrate a clear understanding of the importance of patient satisfaction through experience and safety
Communicate effectively with leadership, patients and members of the patient care team
Respect patient s rights and maintains patient confidentiality
