Patient Coordinator

El Camino Health Medical Network is currently seeking a talented Patient Coordinator to join our growing healthcare team in Santa Clara County!

Pay: $29.00- $33.00/hr.

Location: Los Gatos, CA

Shift: M-F, 8:00am-5:00pm

Summary/ Purpose:

The Patient Coordinator plays a critical role in delivering high-quality, compassionate service to patients, family members, and visitors while ensuring accurate data management, efficient appointment scheduling, financial transactions, and adherence to compliance standards.

This role involves managing patient registration, financial transactions, call management, and maintaining the organization’s Electronic Medical Record (EMR) system.

Essential Functions:

Telephone Duties

  • Answers telephones, screens call, takes messages, and provides information to patients.
  • Registers patients in the EMR database and verifies insurance.
  • Instructs and answers questions of patients regarding appointments, scheduled procedures, and testing.
  • Create Telephone Encounters in EMR

OR & Clinical Scheduling

  • Schedules patients' appointments, procedures, or surgeries
  • Adjusts and/or verifies physician and office schedules daily.
  • Verifies necessary information in the EMR, various insurance plans, and obtains authorizations for scheduled procedures as needed.
  • Ensures all necessary paperwork such as consent forms and preoperative clearances, and allergy lists are completed and on file.

  • Collaborates with ECH OR Departments to provide surgical case information and documentation.

    Clinical/Medical Assistant Duties (Performed Only if Qualified)

    The following duties may only be performed by employees who meet the required clinical qualifications and have demonstrated appropriate training and competency in accordance with El Camino Health Medical Network policies and applicable California regulations. Employees who do not meet clinical qualifications will not perform direct patient care activities.

  • Assists physicians with patient visits which include rooming and interviewing patients, taking and recording vital signs to include height and weight, documenting medications, and entering the information in the patients’ electronic medical record (EMR).
  • Prepares and reviews patients’ EMR at least 72 hours prior to patients’ appointment. Reviews EMR entries for completeness ensuring all required information is included
  • Prepares exam rooms, including general cleaning and maintenance, and re-stocking of supplies
  • Performs administrative tasks such as form completions, prescription refills, referrals (i.e., coordinating with insurance companies and other healthcare providers) and explanation of patient educational material.
  • Scans all pertinent information into the EMR
  • Models WeCare principles

Additional Performance Expectations

  • Contributes to the overall patient experience and satisfaction.
  • Participates in performance improvement activities.
  • Adheres to HR, safety, HIPAA and compliance policies, and attendance requirements.
  • Completes annual health screening and online training modules.

Minimum Requirements:

Employees assigned to perform clinical or direct patient care duties must possess a Medical Assistant Certificate or Diploma from one of the following

  • AAMA – American Association of Medical Assistants
  • CCBMA – California Certifying Board of Medical Assistants
  • AMT – American Medical Technologists Certification as a Registered Medical Assistant (RMA)

Employees who do not meet the above clinical qualifications will not be assigned or permitted to perform clinical or direct patient care duties.

  • High School GED or Diploma
  • One (1) year experience in a medical office setting
  • Word processing and computer experience
  • Experience working with an EMR.
  • Ability to accurately type a minimum of 40 WPM
  • Epic experience-Preferred
