About This Position
The Accounts Payable Specialist is responsible for independently managing complex accounts payable activities for a casino and racetrack facility with dining operations. This role ensures accurate and timely vendor payments, reconciliations, tax compliance, and adherence to company policies and applicable gaming regulatory requirements.
The position serves as a subject-matter resource for accounts payable processes, resolves escalated vendor issues, supports audits and month-end close activities, and partners closely with Accounting and Finance leadership to maintain financial integrity.
ESSENTIAL JOB FUNCTIONS/DUTIES:

- Independently processes high-volume and complex vendor invoices, ensuring proper approvals, coding, and supporting documentation.
- Reviews and reconciles vendor statements; investigates and resolves discrepancies and escalated vendor issues.
- Prepares and reviews payment runs, including ACH and check payments, ensuring compliance with internal controls.
- Ensures outstanding obligations are credited upon payment and identifies early-payment discount opportunities.
- Calculates, reviews, and reports applicable sales and use tax related to vendor payments, including food and beverage vendors.
- Maintains and audits vendor master files, including W-9 documentation and 1099 compliance.
- Prepares and supports 1099 reporting and year-end filings.
- Performs detailed account reconciliations and supports month-end close activities.
- Assists with journal entries and provides documentation to support general ledger accuracy.
- Supports internal and external audits, including gaming and financial compliance audits, by preparing schedules, documentation, and reconciliations.
- Identifies process inefficiencies and recommends improvements to enhance accuracy, compliance, and efficiency.
- Serves as a point of contact for vendors, internal departments, and Accounting for accounts payable–related inquiries.
- Assists in training and mentoring Accounts Payable Clerks as needed.
- Performs analysis and ad hoc reporting as requested.
- Performs other related duties as assigned.
JOB SPECIFICATIONS:
Education, experience, skills required, equipment used.
- Must be 21 years of age or older.
- Three (3) or more years of progressive accounts payable or accounting experience required.
- Associate degree in Accounting, Finance, or related field preferred, or equivalent combination of education and experience.
- Experience in a gaming-regulated, racetrack, or food and beverage operating environment preferred.
- Strong working knowledge of accounts payable processes, internal controls, and audit requirements.
- Solid understanding of sales tax, 1099 reporting, and vendor compliance.
- Advanced attention to detail with strong analytical and problem-solving skills.
- Proficient in Microsoft Office Suite, especially Excel.
- Ability to learn and effectively use accounting and financial systems.
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Demonstrated integrity, discretion, and ability to maintain confidential records.
- Strong written and verbal communication skills.
