This position is with the Office of Administration Division of Facilities Management, Design, and Construction (OA-FMDC) supporting the Operations Team. OA-FMDC is committed to strengthening the State’s investments while providing a safe and secure environment through innovative design solutions and excellent customer service.

The salary indicated represents a base pay rate. If the individual selected or the position is eligible for a pay differential (e.g., shift, security, or years of service), it will be added to the total compensation in your paycheck. A pay differential does not raise your base pay.

  • Prioritize excellent customer service for a wide and diverse network of internal and external stakeholders, including but not limited to internal teams, state agencies, state officials, contractors, and the public.
  • Partner with the FMDC Badge Office to process badge requests per established badge and retention policies and procedures for specific regional facilities as well as maintain proper listing of Authorized Representatives for agencies in the region.
  • Ensure compliance of regional contractors per approved badge access provisions.
  • Establish and maintain filing and record systems utilizing a variety of software applications such as Microsoft Office suite, Adobe, SharePoint, Smartsheet, shared drives, and other programs.
  • Oversee and ensure the accurate and timely preparation, review, processing, and archiving of a variety of fiscal, personnel, accounting, purchasing, and/or related documents.
  • Serve as the liaison for a variety of support-related functions for team members including but not limited to coordinating onboarding programs, locating resources, tracking the key inventory for the region, coordinating requests for maintenance and housekeeping services for facilities as needed, and ensuring compliance with established guidelines such as those relating to fixed assets, surplus forms, expense reports, Title 19 and Joint Commission accreditation standards, and other security and safety programs.
  • Operate under general supervision to carry out assigned responsibilities independently within established guidelines and procedures.
  • Occasionally travel to other facilities to deliver materials, provide assistance, and print/program ID badges.
  • Answer emergency calls and occasionally travel to other facilities to provide coverage and assistance.
  • Provide coverage at state facilities after hours and/or for emergency purposes (i.e., severe weather, snow removal, water leaks, fire, and more) to ensure clerical, administrative, financial, security, safety, and/or other related tasks are properly addressed for team members and the public to conduct state business.
  • Assist with special projects and other duties as assigned.
  • Ability to communicate, collaborate, and operate with integrity in a manner that inspires trust and builds positive rapport with a diverse group of stakeholders and the public.
  • Strong interpersonal, verbal, and written communication and customer service skills.
  • Excellent time management, organizational, and planning capabilities in a fast-paced environment with changing priorities.
  • Ability to prioritize and execute work independently with minimal supervision with a high level of discretion when dealing with sensitive/confidential information.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • Six or more months of experience in office support work; and possession of a high school diploma or proof of high school equivalency. (Substitutions may be allowed.)
  • Excellent attendance, work ethic, attention to detail, conflict management, and critical thinking skills.
  • Possess and maintain a valid driver’s license from Missouri or from an adjacent state if you reside outside of Missouri.
  • Lack of post-secondary education will not be used as the sole basis denying consideration to any applicant.

    * This position is in an office environment and job duties may include prolonged periods of seated work at a desk, typing, written and verbal communication, problem solving, and the occasional ability to lift/carry up to 50 pounds. This list is not all inclusive, but a general representation of duties that may be encountered in this position; however, other duties may be assigned contingent upon business needs. Please note, this position is considered a “Category 2” under the Fair Labor Standards Act (FLSA), meaning the incumbent will be compensated for overtime (hours actually worked over forty hours in a workweek) at the rate of time and one-half.
