Description:

Position Summary

The HR and Training & Compliance Administrator is responsible for supporting day-to-day Human Resources operations with a strong focus on employee training, regulatory compliance, and accurate HR administration. This role ensures employees are properly onboarded, trained, and compliant with California and federal employment requirements, while maintaining confidential employee records and supporting payroll and benefits processes. The ideal candidate is highly organized, detail-oriented, and knowledgeable about California HR compliance fundamentals.

Key Responsibilities

HR Administration

  • Maintain accurate, complete, and confidential employee personnel files in compliance with California recordkeeping requirements
  • Prepare and administer HR documentation including offer letters, employment agreements, policy acknowledgments, and employee status changes
  • Manage onboarding and offboarding processes, ensuring completion of required documentation, notices, and training
  • Serve as a primary point of contact for employee HR inquiries and administrative support
  • Maintain and update HRIS data to ensure accuracy and compliance

Training Ownership (California-Specific)

  • Own and administer all required employee training programs
  • Track training completion deadlines and maintain accurate training records
  • Coordinate training for new hires, supervisors, and ongoing employee requirements
  • Work with managers to ensure timely completion of required and role-specific training
  • Support rollout of new policies or regulatory changes through training coordination

Compliance & Risk Management (California Focus)

  • Support compliance with California and federal employment laws, including wage and hour, leave laws, and employee classifications
  • Administer and track required employee notices and acknowledgments (e.g., wage theft prevention notices, handbook acknowledgments)
  • Maintain required labor law postings and ensure updates are implemented promptly
  • Track and support compliance with California leave programs (e.g., CFRA, FMLA, paid sick leave)
  • Assist with State audits, regulatory requests, and compliance reporting
  • Support employee relations documentation, complaint intake, and escalation following company policy

Payroll & Benefits Support

  • Assist with payroll preparation by tracking employee changes, time-off balances, and status updates
  • Support benefits administration, including enrollments, changes, and employee inquiries
  • Coordinate with Finance, payroll providers, and benefits vendors as needed
  • Maintain accurate records related to compensation, benefits, and leaves of absence

Recruitment & Onboarding Support

  • Assist with job postings and candidate communications
  • Coordinate interview scheduling and onboarding logistics
  • Ensure new hires receive all required California notices, policies, and training

General HR Support

  • Support performance review cycles and HR initiatives
  • Prepare HR reports and compliance documentation as requested
  • Participate in HR process improvements and documentation updates
  • Promote a compliant, inclusive, and professional workplace culture

Qualifications & Skills

Required

  • 2–4 years of experience in an HR administrative, HR coordinator, or similar role
  • Working knowledge of California employment laws and HR compliance requirements
  • Experience tracking and administering mandatory employee training
  • Strong organizational skills with exceptional attention to detail
  • Ability to handle sensitive and confidential information with discretion
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office and HRIS platforms

Preferred

  • HR certification (PHR, SHRM-CP, or equivalent)
  • Experience supporting payroll and benefits administration
  • Familiarity with California leave laws (CFRA, paid sick leave, LOAs)
  • Experience supporting audits or regulatory reviews
