Job Description

Full-Time, 30-hour per week position
POSITION SUMMARY

The Property Manager is responsible for the overall operations and financial performance of their assigned portfolio in accordance with the terms of the management agreements and Kiemle Hagood policies, procedures and standards. They serve as the lead for client relationships and the first point of contact for tenant issues.

Property Managers operate with a solid understanding of building systems, lease administration, financial management, and client relationships, applying these skills to effectively manage day-to-day operations and priorities within their portfolio. They are expected to deliver accurate, timely, and high-quality work while continuing to develop their expertise and problem- solving abilities, including the ability to think critically and proactively make recommendations to clients and customers.

Property Managers operate within their portfolio team under the oversight of a Portfolio Manager.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Owner & Tenant Relations

Serve as the primary owner contact for assigned properties; maintain regular communication and provide proactive updates on property performance.Act as first point of contact for tenant issues and service concerns; work with Administrative Assistants and KHFS technicians to ensure timely resolution.Ensure compliance with lease terms; manage tenant relations and escalate disputes to the Portfolio Manager as appropriate.Maintain a thorough understanding of all lease terms for assigned properties; assist in lease administration as directed.Develop and make well-thought-out recommendations to clients and customers.

Financial Management

Prepare annual operating and capital budgets for assigned properties.Review and approve monthly invoices; prepare monthly financial summaries and variance reports for delivery to owner.Complete annual CAM reconciliations for assigned properties accurately and on time.Coordinate and follow up on tenant account delinquencies and payment correctionsApprove invoices after they have been coded. Check for accuracy and complete in a timely manner

Property Operations

Conduct regular property inspections; assess physical condition of buildings and grounds, document findings, and develop maintenance programs.Maintain working knowledge of building mechanical systems including HVAC, plumbing, electrical, and roofing.Obtain competitive bids for service contracts; oversee vendors and ensure owner and tenant interests are protected.Ensure life safety equipment, required testing, and emergency procedures are current for each property.Keep the Administrative Assistant informed of material changes at properties.

Leasing

Manage leasing and renewal efforts for assigned properties independently, in coordination with the leasing team as needed.Maintain current knowledge of market rents; develop renewal recommendations that maximize owner financial return.Complete move-in and move-out condition reports in a thorough and timely manner.

Portfolio Team

Collaborate with Portfolio Manager, other Property Managers, Property Associates, and Administrative Assistant to ensure consistent service quality across the portfolio.Provide guidance and support to Property Associates on assigned properties as directed by the Portfolio Manager.

Perform other duties, responsibilities, and special projects as assigned by the Director of Commercial Property Management.


QUALIFICATIONS & SKILLS

Associate or bachelor’s degree (minimum 2 years) in a related field, or equivalent professional experience 2+ years of commercial property management experience or equivalent business management experienceActive real estate license in the applicable state(s) of operationWorking knowledge of commercial lease structures, building systems, and property operationsStrong financial acumen; comfortable preparing and managing property-level budgets and CAM reconciliationsStrong written and verbal communication skillsHighly organized with excellent time management and the ability to manage multiple properties and competing prioritiesStrong client and tenant relationship management skills with a customer service focusProficient in Microsoft Office Suite (Word, Excel, Outlook)Ability to analyze information and support operational and financial decision-makingWillingness to complete required company training programs (e.g., KHU) within designated timeframes and when applicable

MENTAL & PHYSICAL REQUIREMENTS

Ability to manage multiple tasks and properties in a fast-paced environment Ability to prioritize competing demands while maintaining accuracy and meeting deadlinesAbility to think critically and take independent action to resolve day-to-day operational and tenant-related issuesSitting – approximately 65%; Walking/Bending – approximately 35% Valid driver’s license with a good driving record and reliable transportation


BENEFITS

Insurance- medical insurance, vision insurance, dental insurance, life and AD&D insurance, and long-term disability insurance. Company provided dollars to use towards medical, dental and vision. Retirement Plans- eligible after 1000 hours of service. Vested immediately. Company matches up to a set amount each year. Vacation- lump sum to begin the following month of hire to equal 10 hours per month. (3 weeks) Paid Holidays- 9 paid holidays per year.Sick Pay- 0.038462 hours of sick per hour worked (on average 10 days per year). Up to 80 hours carryover each year.
