Job Summary:
The Office Supervisor is responsible for overseeing the daily administrative operations of a medical practice. This role ensures efficient office workflow, excellent patient service, and compliance with healthcare regulations. The supervisor supports staff performance, coordinates scheduling, and serves as a liaison between providers, staff, and patients.
Key Responsibilities:
- Supervise and coordinate front-office staff, including receptionists and administrative personnel
- Manage daily office operations to ensure smooth patient flow and minimal wait times
- Oversee patient scheduling, registration, and check-in/check-out processes
- Train, mentor, and evaluate administrative staff performance
- Ensure compliance with healthcare regulations, policies, and privacy standards (e.g., HIPAA)
- Handle patient inquiries, concerns, and complaints professionally and efficiently
- Monitor office supplies and equipment; coordinate ordering and maintenance
- Assist with billing, coding coordination, and insurance verification processes
- Maintain accurate patient records and ensure proper documentation procedures
- Collaborate with clinical staff and providers to improve operational efficiency
- Prepare reports and assist with office budgeting and financial tracking
- Travel between all locations as needed
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare administration or related field preferred
- 2–5 years of experience in a medical office setting, with supervisory experience preferred
- Knowledge of medical terminology, insurance processes, and healthcare regulations
- Strong leadership, communication, and organizational skills
- Proficiency with electronic health record (EHR) systems and office software
- Ability to multitask and work in a fast-paced environment
