Schedule:
Part-Time, Monday – Friday, 9:00 AM – 2:00 PM (25 hours per week)
Position Overview
We are seeking a dependable and detail-oriented Bookkeeper / Administrative Assistant to support daily financial and administrative operations. This role is ideal for someone who values accuracy, organization, and consistency, and is comfortable working in a structured environment with clear processes.
This position works closely with leadership, while all financial approvals and decisions remain at the executive level.
Key Responsibilities
- Process accounts payable and track vendor payments
- Maintain accurate and well-organized financial records
- Reconcile bank accounts and financial statements
- Assist with payroll processing through ADP (data entry and review)
- Monitor and report on outstanding invoices and expenses
- Maintain vendor files and supporting documentation
- Communicate discrepancies or issues in a timely manner
- Provide general administrative support (filing, email correspondence, scheduling)
Required Qualifications
- 1–2 years of bookkeeping, administrative, or related experience
- Experience with QuickBooks or similar accounting software
- Strong attention to detail and accuracy in financial data entry
- Ability to follow established processes consistently
- Excellent organizational and time management skills
- Ability to handle sensitive financial information with discretion
- Reliable attendance and strong follow-through
- Clear communication skills and willingness to ask questions
- Experience supporting administrative functions in a fast-paced environment
Preferred Qualifications
- Experience with ADP or other payroll systems
- Experience working in a small business or multi-entity environment
Additional Information
- This is a part-time, in-person role focused on financial processing and administrative support.
- All contracts, approvals, and financial decisions are managed by leadership.
